This isn't an entry-level administrative role—we're seeking someone who can step in immediately and handle confidential, high-level executive support without hand-holding. You must be available to work during Mountain Standard Time business hours and ideally be based in or near Denver, Colorado for occasional in-person support. Experience with fitness industry CRM systems, client management platforms, and social media coordination is essential. Primary Responsibilities (Executive Assistant - 70% of role)
Client Experience & Communication
↳ Manage client onboarding process for new transformation challenge participants
↳ Coordinate client check-ins, progress tracking, and celebration milestones
↳ Respond to client inquiries via email, phone, and social media with professionalism and warmth
↳ Follow up with leads from website inquiries and social media engagement
↳ Maintain client records and progress documentation
Calendar & Scheduling
↳ Manage complex training session schedules across multiple clients and time slots
↳ Coordinate consultation calls for prospective clients
↳ Handle scheduling conflicts and session rescheduling when needed
↳ Block time for owner's business development, content creation, and personal priorities
↳ Prepare session notes and follow-up action items
Email & Communication Management
↳ Monitor and organize the owner's inbox daily
↳ Draft responses on behalf of the owner for routine communications
↳ Flag urgent messages and coordinate timely follow-ups
↳ Maintain professional, friendly tone consistent with Chain Reaction's brand voice
Administrative Excellence
↳ Process client payments and manage billing systems
↳ Coordinate vendor relationships (equipment, supplements, facility management)
↳ Maintain confidential client information with discretion
↳ Prepare program materials, guides, and client resources
↳ Order and track inventory for nutrition products and training supplies
Growth Opportunity (Marketing & Content Support - 30% of role)
As you master the core executive assistant functions, you'll support business growth through:
↳ Social Media Coordination: Schedule posts, engage with followers, and share client success stories (with permission)
↳ Content Support: Help create client transformation spotlights, testimonials, and program updates
↳ Lead Management: Track and nurture prospective clients through consultation process
↳ Event Coordination: Support transformation challenge kickoffs, client appreciation events, and workshops
↳ Process Documentation: Build systems that improve client experience and operational efficiency
Required Qualifications
↳ 3+ years of executive assistant experience supporting business owners or entrepreneurs
↳ Excellent English communication skills (written and verbal) with warm, professional tone
↳ Mountain Standard Time availability for core business hours (ideally Denver-based for occasional in-person support)
↳ Proficiency with digital tools: Email platforms, calendar management, Google Workspace or Microsoft Office
↳ Experience with client management or CRM systems (experience with fitness booking platforms a plus)
↳ Strong organizational skills with ability to manage multiple priorities in a fast-paced environment
↳ Professional demeanor when representing the owner to clients, vendors, and partners
↳ Reliable internet connection and professional home office setup
↳ Genuine interest in health, fitness, and helping people achieve transformation goals
