About the Role
We are hiring an Executive Assistant to support a business owner across real estate, short-term rentals, business operations, projects, and personal logistics.
This is a high-trust role for someone who can keep up with a fast-moving, non-linear work style, prevent things from falling through the cracks, and help move priorities forward across multiple areas.
This is not a traditional administrative role. The right person will act as a proactive right hand, accountability partner, and operational support partner so the executive can stay focused on decisions, growth, and high-value work.
What You’ll Own
● Manage a running to-do list and keep priorities moving
● Track follow-ups, deadlines, decisions, and open loops
● Build and maintain checklists and repeatable processes
● Support real estate operations, including transaction coordination, listing workflow follow-through, file progression, and database support
● Support short-term rental operations, including guest inquiries, review handling, housekeeper coordination, calendar updates, platform support, and customer service follow-through
● Help coordinate marketing, social media, and operational follow-through for the laundromat
● Support ad hoc research, errands, and personal logistics
● Help manage projects such as office search, renovation planning, and other business initiatives
What Success Looks Like
● Priorities are surfaced consistently, and things are not falling through the cracks
● Stalled items are flagged early and moved forward
● A working system of task tracking, checklists, and follow-through is in place
● Real estate, rental, and business operations are moving with fewer bottlenecks around the executive level
● Urgent issues are escalated clearly and early
● the executive has more time and mental space for high-value work
What We’re Looking For
● 3+ years of experience as an Executive Assistant or in a similar high-trust support role
● Strong organisational skills and the ability to manage multiple priorities in a fast-paced environment
● Proactive and self-directed, with strong anticipatory thinking
● Smart, adaptable, and comfortable shifting between very different types of work
● Confident enough to manage up, push for clarity, and hold the executive accountable
● Strong judgment on when to act independently and when to check in
● Strong written and verbal communication, with good judgment in customer service and stakeholder-facing situations
● Comfortable with frequent check-ins, changing priorities, and a direct working style
Strong Fit If You Also Have
● Experience supporting a business owner, founder, or executive across multiple moving parts
● Familiarity with real estate workflows or transaction coordination
● Experience supporting short-term rental operations
● Experience in customer service, guest communication, or client-facing support
● Comfort with social media coordination, light marketing support, or content follow-through
● Familiarity with tools such as Paperless Pipeline, Paragon MLS, Airbnb, VRBO, Todoist, Canva, QuickBooks, Calendly, Meta Suite, Curbside, or Laundroworks
