Zachary Piper Solutions is seeking a Senior Executive Assistant/Action Officer to support a high-profile federal health research program under ARPA-H through a remote work arrangement. The Senior Executive Assistant/Action Officer will provide executive-level support to Mission Office Directors and Program Managers, ensuring seamless coordination of schedules, taskers, and project deliverables in a fast-paced, research-driven environment.
Responsibilities of the Senior Executive Assistant/Action Officer include:
- Manage executive calendars and coordinate day-to-day schedules, including high-volume travel and last-minute changes.
- Disseminate and track taskers promptly, ensuring timely completion and follow-up with responsible parties.
- Facilitate and organize management meetings, prepare presentations and materials, and capture meeting minutes for action tracking.
- Coordinate weekly reports, compile leadership updates, and manage ad hoc projects and deliverables.
- Maintain telework schedules and alternate work arrangements for division personnel.
- Apply independent judgment to advance executive-level requests and actions when leadership is unavailable.
- Support executive leaders in launching innovative health research initiatives by managing administrative workflows and project coordination.
Qualifications of the Senior Executive Assistant/Action Officer include:
- Bachelor’s or Master’s degree required.
- Minimum of 5 years of experience supporting federal executive-level personnel in project management, research, or policy development.
- Proven ability to manage complex schedules, monitor deliverables, and allocate resources in a fast-paced environment.
- Strong analytical skills with experience conducting research, analyzing data, and preparing reports.
- Excellent oral and written communication skills, customer service expertise, and attention to detail.
- Proficiency in Microsoft Office Suite and virtual collaboration tools.
- Ability to work independently and apply critical thinking to resolve issues proactively.
Preferred Qualifications:
- Experience supporting DARPA or related ARPA agencies (ARPA-H, IARPA, ARPA-E, HSARPA) or federal health organizations (NIH, CDC, FDA, USDA, NSF).
- Familiarity with policy/process development and R\&D environments.
Compensation for the Contracts Specialist includes:
- Salary Range: $90,000-$130,000 depending on experience
