Job Summary
We are looking for a highly organised and proactive Marketing Coordinator to lead the onboarding and asset management process for new property developments. This role is pivotal in ensuring that all marketing deliverables are executed efficiently, accurately, and on schedule.
The ideal candidate will serve as the key liaison between Sales, Marketing, Creative teams, and external stakeholders—including builders and design partners—maintaining a high standard of communication, quality, and project oversight.

Project Onboarding & Asset Coordination
Manage the marketing onboarding process for new property projects.
Coordinate the production and delivery of essential marketing assets, including:
Renders
Floorplans
Drone footage
Hoarding artwork
Request and follow up on CAD files and project documentation.
Track timelines and approvals with internal teams and external stakeholders, including builders.
Keep the CRM (HubSpot) updated with all relevant project details and asset ETAs.
Brief and direct the Marketing Assistant once core project assets are finalised.
Ensure all created materials align with project briefs and meet sales team expectations.
Serve as the central point of contact for marketing needs between Sales and internal departments.
Maintain proactive, cross-functional communication to address evolving project requirements.
Escalate issues or delivery roadblocks to the appropriate stakeholders in a timely manner.
Maintain marketing timelines across multiple, concurrent campaigns.
Prioritise and coordinate competing deadlines, ensuring efficient scheduling for the marketing team.
Provide real-time visibility of upcoming deliverables via HubSpot and internal workflows.
Conduct final proofing of all marketing materials to ensure brand consistency and accuracy.
Submit final collateral for sign-off by the department head.
Clear, professional, and timely across written and verbal channels.
Skilled at managing multiple priorities and project timelines.
Meticulous in ensuring all marketing content meets quality standards.
Anticipates challenges and takes initiative to resolve them.
Continuously seeks process improvements and contributes new ideas.
Experience directing junior staff or marketing assistants is a strong plus.
Minimum 3 years experience in a marketing or project coordination role, ideally within the property or real estate industry.
Proficiency in CRM systems (HubSpot preferred).
Experience working with design files, CAD documentation, or construction/real estate marketing assets is advantageous.
