Overview
We are looking for a highly organized, proactive, and detail-oriented Executive Assistant / Operations Coordinator to support a technical leadership team within a fast-paced startup environment. This role will provide operational, administrative, and organizational support to key leaders across the company, including engineering and business stakeholders.
The ideal candidate will combine strong executive assistant capabilities with operational coordination skills, helping improve organization, communication, and overall team efficiency. This person should feel comfortable working closely with software engineering teams, managing priorities across multiple stakeholders, and maintaining highly organized digital systems and documentation.
This role is ideal for someone who thrives in dynamic environments, enjoys bringing structure to complex processes, and has excellent English communication skills.
Key Responsibilities
- Provide executive and administrative support, including calendar management, meeting coordination, and scheduling across multiple stakeholders and time zones
- Coordinate internal meetings, team activities, and leadership-related initiatives
- Assist with operational and project coordination tasks, ensuring follow-up on deliverables and action items
- Organize and maintain internal documentation, digital files, and SharePoint systems with clear structure and naming conventions
- Support engineering and technical teams with administrative and organizational needs
- Manage and maintain Microsoft Teams, file management systems, and other collaboration platforms
- Assist with travel coordination, expense tracking, registrations, and logistical planning when needed
- Help streamline internal processes and improve overall operational efficiency
- Support communication and coordination between teams and leadership stakeholders
- Handle sensitive information with professionalism and confidentiality
Requirements (Must-Haves)
- 3-5 years of experience in executive assistant, administrative, operations, or coordination roles
- Excellent English communication skills, both written and verbal
- Strong organizational and multitasking abilities
- Experience supporting multiple stakeholders or executives simultaneously
- Proficiency with Microsoft Office Suite, including Outlook, Excel, Word, PowerPoint, and Teams
- Experience with calendar management and meeting coordination
- Comfortable working with technology, digital organization tools, and file management systems
- Ability to work independently, prioritize tasks, and adapt in a fast-paced startup environment
- Strong attention to detail and problem-solving mindset
- Professional, proactive, and collaborative attitude
