Job Title: Personal Assistant with Project Management Background

Position Summary:
We are seeking a detail-oriented and proactive Personal Assistant with a background in Project Management to provide remote support to a senior executive. This individual will handle a mix of administrative, coordination, and project-related tasks. The role requires excellent communication skills, a strong work ethic, and the ability to operate independently while managing multiple priorities.
Key Responsibilities:
Executive Support:
• Manage daily calendar, schedule meetings, and coordinate travel itineraries.
• Organize and prioritize email and communication on behalf of the executive.
• Prepare meeting materials, take minutes, and follow up on action items.
• Support with personal tasks and event coordination as needed.
Project Coordination:
• Assist in planning, tracking, and reporting on project activities.
• Monitor timelines, milestones, and deliverables across initiatives.
• Maintain project documentation and prepare reports and dashboards.
• Communicate with internal teams and external stakeholders to support project execution.
Administrative Management:
• Manage digital files and ensure proper documentation control.
• Track expenses, support procurement processes, and manage vendor coordination.
• Assist in organizing virtual team meetings and documentation archives.
Communication & Liaison:
• Serve as a point of contact between the executive and team members or clients.
• Maintain professionalism in all written and verbal communications.
• Follow up on communications and ensure timely response and task completion.
Qualifications:
Required:
• Bachelor’s degree in Business, Management, or a related discipline.
• Minimum of 3 years of experience as a personal or executive assistant.
• At least 2 years of experience in project coordination or project support.
• Strong command of written and spoken English.
• Proficiency in Microsoft Office, Google Workspace, and project management tools (e.g., Trello, Asana, ClickUp, MS Project).
• Reliable internet connection and ability to work in a remote setting.
Preferred:
• Certification in project management (PMP, CAPM, or equivalent).
• Experience supporting international clients or executives.
• Familiarity with online collaboration platforms such as Slack, Zoom, and Teams.
