Chiropractic Virtual Assistant & Front Desk Coordinator (ChiroTouch EMR)

About The Role

We are seeking an articulate, high-energy Chiropractic Virtual Assistant & Front Desk Coordinator with mandatory ChiroTouch EMR experience to manage our practice's inbound/outbound phone operations and general medical administration.

In this position, your main priority is answering phone calls with exceptional clarity, scheduling patient appointments, and managing patient inquiries. When you are not on the phone, you will support the practice with general medical administrative workflows, patient communications, and record management directly within ChiroTouch.

• Phone Management & Patient Scheduling
• Manage a high volume of inbound and outbound calls using our Intermedia VOIP phone system.
• Speak clearly, professionally, and warmly to answer patient questions, schedule care plans, confirm visits, and manage reschedules.
• Perform proactive appointment reminder calls to minimize no-shows and keep clinic calendars full.
• ChiroTouch EMR & Administrative Support
• Maintain accurate, up-to-date patient records, intake forms, and schedules within ChiroTouch EMR.
• Perform general medical administrative tasks during call downtime, including document organization, digital fax handling, and messaging.
• Route patient inquiries, clinical notes, or care plan questions to providers in a timely manner.
• Patient Communications & Practice Support
• Provide attentive, empathetic support to chiropractic patients regarding appointment logistics, practice policies, and intake requirements.
• Document every phone call, patient request, and calendar modification accurately in real time.
• EMR Mastery (Non-Negotiable): Hands-on proficiency and recent experience using ChiroTouch EMR.
• Call Volume Experience: Strong, proven background managing high call volumes in a medical setting with exceptionally clear, professional spoken English.
• Specialty Knowledge: Prior background working in Chiropractic practices or physical therapy/rehabilitation clinics.
• Phone System Experience: Experience using Intermedia VOIP (or similar cloud-based phone platforms).
• Skills: Strong multitasking ability, high attention to detail, and comfort managing administrative tasks between calls.
