Position Summary
Executive Assistants in this specialty bring prior financial-services experience and understand the pace, discretion, and accuracy required in regulated environments. You will support daily operations by managing communications, preparing materials, organizing systems, and ensuring client interactions run smoothly.
Success in this role requires sound judgment, careful attention to detail, and confidence working with sensitive information. You’ll function as a trusted operational partner, adding structure and clarity to each engagement.
Candidates with three or more years in financial services and experience covering most of the responsibilities outlined below are strongly encouraged to apply.
Work Arrangement
- Location: Fully remote
- Eligibility: U.S.-based contractors (excluding CA, CO, MT, NJ, NY, and PA)
- Engagement type: Independent contractor (1099)
- Travel: Occasional in-person meetings may be requested depending on client needs
Compensation
- Hourly rate: $25–$35, based on experience and demonstrated skills
- Paid monthly for approved hours worked
- Work volume varies by client and is not guaranteed

Responsibilities
Executive & Communication Support
- Coordinate and maintain executive calendars and appointments
- Manage inboxes, prioritize correspondence, and ensure timely follow-up
- Draft, edit, and format professional communications and reports
- Prepare presentations, spreadsheets, and documents for meetings and reviews
Financial Services Administration
- Support client onboarding and ongoing documentation processes
- Prepare agendas, meeting packets, summaries, and follow-up materials
- Track expenses, reimbursements, and operational financial records
- Maintain accurate client data within financial CRM platforms
- (such as Redtail, Wealthbox, Orion, Black Diamond, Advyzon, ClientWorks)
- Handle confidential files using secure systems and approved tools
Operations & Compliance
- Maintain organized digital and physical filing systems aligned with retention requirements
- Support adherence to internal procedures and regulatory standards
- Develop and improve workflows, checklists, and operational processes
- Coordinate travel, events, and meeting logistics
Client & Stakeholder Support
- Act as a professional point of contact for clients, custodians, and vendors
- Handle high-net-worth and sensitive client information with discretion
- Assist with recurring tasks and special projects tied to client objectives
Technology & Tools
You’ll use modern software and automation tools—including AI-enabled solutions—to streamline workflows and improve efficiency. While technology supports the work, professional judgment, accuracy, and discretion remain essential, particularly in regulated financial environments.
Qualifications
- Minimum of 3 years’ experience in financial services
- (wealth management, advisory, investment, private equity, or related fields)
- At least 1 year in an executive assistant or senior administrative role
- Strong understanding of financial terminology and concepts
- Hands-on experience with financial CRMs and industry platforms
- Excellent attention to detail and data accuracy
- Familiarity with secure communication and compliance-focused workflows
- Strong written and verbal communication skills
- Ability to work independently and manage competing priorities
- Availability during standard weekday business hours
- Reliable technology setup (computer, high-speed internet, webcam, phone, quiet workspace)
- Willingness to participate in regular video meetings
- Preference for contractors available for a 12-month or longer commitment
