Title: Executive Assistant to the Head of Investor Relations

About The Role
Our client is seeking an experienced, highly organized, and proactive Executive Assistant to support the Head of Investor Relations. This role is pivotal in managing the day-to-day scheduling, communication, and coordination for a senior leader. The Executive Assistant will serve as a trusted partner, ensuring the Head of Investor Relations’ time and focus remain on high-impact initiatives. The ideal candidate demonstrates exceptional judgment, attention to detail, and the ability to anticipate needs in a fast-paced environment.
Key Responsibilities
- Manage a high-volume and dynamic calendar, ensuring scheduling precision and prioritization of high-impact meetings.
- Act as a communication gatekeeper, managing emails and requests with professionalism and discretion.
- Coordinate across internal teams and external stakeholders, often representing the Head of Investor Relations in communications.
- Support investor interactions by preparing materials, updates, and presentations.
- Organize logistics for investor (LP) meetings, both virtual and in-person, including annual and quarterly events.
- Prepare and distribute investor materials and ensure timely follow-ups.
- Maintain detailed contact lists, communication logs, and documentation for LP engagements.
- Draft meeting agendas, prepare presentation decks, track action items, and ensure follow-through.
- Anticipate needs, streamline administrative workflows, and manage competing priorities effectively.
- Support special projects and internal initiatives as directed.
- Maintain the highest level of confidentiality in all aspects of the role.
Qualifications & Experience
- 3+ years of executive administrative support experience in a fast-paced, professional environment.
- Strong proficiency in Microsoft Office Suite, with advanced PowerPoint and Excel skills required.
- Experience in private equity, investment banking, law, or other professional services preferred.
- Proficient in Zoom, Microsoft Teams, Loom, and Notion.
- Bachelor’s degree preferred.
- Exceptional written and verbal communication skills.
- Strong organizational, prioritization, and time-management abilities.
- Demonstrated professionalism, discretion, and sound judgment under pressure.

- Assessment stage (if applicable)
- Final interview with the Head of Investor Relations
