The Role: Operations & Marketing Coordinator Specialist
You will be the heartbeat of execution—holding together the backend while elevating the client and team experience. You’re part high-level executive assistant, part project manager, part client care lead—and fully aligned with our mission to bring the company's services to the world.
You will act as a bridge between the Owner's vision and the operational engine that drives it, ensuring that the experience, communication, and execution across all programs, launches, and brand touchpoints are cohesive, timely, and intentional.
Key Responsibilities:
Serve as a front-facing representative of the company, ensuring all interactions reflect the brand’s energy, care, and values.
Deliver white-glove client support across channels (email, Telegram, Facebook, etc.)
Hold the client journey from onboarding to ongoing care with attention and presence.
Serve as a grounded, compassionate point of contact for clients and community members.
Manage the client's inbox + client helpdesk with precision and warmth.
Provide administrative support, including calendar updates, file organization, and digital workspace management (Google Drive, Asana, etc.)
Maintain and update SOPs, internal documents, and client-facing resources.
Track, organize, and store testimonials and user-generated content.
Provide occasional live call support (chat support, backup logistics).
Track, manage, and drive momentum on all active projects, launches, and internal initiatives.
Manage Asana or equivalent task/project boards to keep the team accountable and on schedule.
Coordinate across contractors, creatives, tech, and customer support to ensure aligned delivery.
Track performance metrics for programs, launches, and community engagement.
Manage client subscriptions, billing, payment plans, and failed payments.
Facilitate onboarding (success plans, check-ins).
Own communication cycles for programs (emails, reminders, recordings).
Manage Telegram + Facebook groups (customer care, content support).
Upload and organize call recordings for programs.
Support updates in Kajabi and Kartra for memberships and course access.
Assist in executing marketing campaigns and daily communications.
Support the setup of products, sales pages, opt-ins, and automations in Kajabi.
Track and QA email sequences, links, tags, forms, and checkouts.
Design light graphics for launches (welcome graphics, banners, etc.)
Support affiliate tracking, communication, and incentive management.
Assist in planning and coordinating events and retreats (logistics, research, waivers).
Support communication and client management around events.
Assist with live or virtual community engagement during event periods.
Contribute ideas and insights to strategy discussions.
Ensure all implementation is aligned with the client's creative vision and long-term goals.
