About The Role
We’re hiring a high-level Executive Assistant to support a seasoned U.S.-based founder who recently parted ways with his long-term assistant after 5+ years. This role demands consistency, discretion, and a strong sense of ownership. You’ll step into a fast-paced environment with clearly defined systems, processes, and workflows already in place.
We’re looking for someone who is calm under pressure, detail-oriented, and committed to helping the executive optimize his time, stay organized, and move projects forward efficiently.
Key Responsibilities
Manage executive calendar and schedule meetings (both in-person and virtual)
Triage incoming emails and flag/respond to high-priority messages
Input and manage data in HubSpot CRM
Coordinate internal team syncs and company events
Track and follow up on projects using Asana and other tools
Time-blocking and schedule optimization for the executive
Post pre-written marketing content to LinkedIn, Facebook, and Instagram (no design or copywriting required)
Conduct research and manage ad-hoc projects
Communicate in real-time via Microsoft Teams
Ideal Candidate Profile
3 - 5 years of Executive Assistant experience
Exceptional attention to detail and organizational skills
Calm, pleasant demeanor with a “don’t worry, I’ve got this” attitude
Proactive and resourceful, someone who anticipates needs and takes initiative
Fluent in written and spoken English
Tech-savvy with the ability to quickly learn tools like HubSpot, Asana, and Microsoft Teams
Dependable and easy to work with personality and cultural fit are just as important as technical skills
