Position : Executive Assistant
Work Hours (Client) : PST: 7h30AM (6 hour overlap), will move to EST
Pay Range : $1500 - $2000 USD/month (varies based on skill set and experience level)

Duties And Responsibilities
This is a high-impact role for someone who thrives in fast-paced, founder-led environments and can anticipate needs before they arise.
You’ll become Juan’s right hand, helping him stay focused on strategic priorities by managing his schedule, inbox, travel, and day-to-day business and personal logistics.

Key responsibilities
Calendar & Inbox Ownership
- Own and optimize Juan’s calendar with a focus on maximizing productivity and throughput.
- Proactively manage scheduling—building in buffer time, minimizing context switching, and solving for high-impact use of time.
- Flag overload risks early and propose solutions (e.g., rescheduling, delegation, or time-blocking for focused work).
- Coordinate time-zone-sensitive meetings with internal and external stakeholders across the U.S. and Europe.
- Triage and organize Juan’s inbox: surface urgent items, filter out noise, and help drive toward Inbox Zero (or as close as realistically possible).
Travel & Logistics
- Plan international and domestic travel with full itineraries (flights, hotels, transport, gyms, coworking spaces).
- Think ahead: anticipate logistical challenges (weather, local transit, seasonal delays).
Personal Support
- Book/manage personal appointments (doctor, dentist, trainer).
- Assist with personal tasks like home utility management, special occasion planning, and seasonal errands.
Team & Ops Admin
- Support employee onboarding/offboarding (hardware orders, access setup, meeting coordination).
- Manage EU contractor payroll timelines (currency conversions, monthly deadlines).
- Keep the internal employee database and Notion documentation up to date.
- Coordinate internal and external meetings (Board meetings, All Hands, team spotlights).
- Onboarding new team processes
Tools You’ll Use
- GSuite (calendar and email), Slack, Notion, Zoom, Ramp, Linear, Secureframe, HR tools (Deel, JustWorks).
Minimum Requirements
Language requirement: Excellent English Communication Skills (Bi-lingual in Spanish is a plus) accent is acceptable
Education: Bachelor's Degree (ideally)
Experience: 2+ years of related experience
- 2+ years as an Executive Assistant supporting a founder or C-level leader (US startup or fast-growth company experience preferred).
- Exceptional written and spoken English (business-level and up).
- Proactive and ownership-driven: You solve problems before they become problems.
- Highly organized, with strong attention to detail and follow-through.
- Tech-savvy and resourceful: Comfortable working with new SaaS tools, learning systems quickly, and figuring things out independently.
- Quick learner: You’re curious, adaptable, and eager to learn new tools and processes as we grow.
- Direct, concise communicator who’s not afraid to ask clarifying questions.
- Comfortable working across business and personal domains.
- Bonus: Experience working in a fully remote, async-friendly team across multiple time zones.
- Nice to have: Ability to communicate in Spanish
- Mandatory: AI-friendly, open to using AI tools (like ChatGPT) to draft, summarize, research, and speed up workflows.
