Solera Senior Living is seeking a highly capable, proactive Executive Assistant to support our CEO and COO. This is not a traditional administrative role. We are looking for someone who takes pride in helping senior leaders operate at their best while continuously improving the way work flows across the organization.
Our current Executive Assistant is advancing internally into a new role, creating an opportunity for someone who is exceptionally strong in process, execution, communication, and judgment. The right person will not simply manage calendars and logistics — they will help the business run smarter by identifying inefficiencies, improving workflows, and thoughtfully leveraging AI and technology to create leverage across the executive team.
This is a remote role supporting a fast-moving executive team across multiple markets and time zones, with occasional travel expected for leadership meetings and company events.
What You’ll Do
- Manage complex calendars, scheduling, travel, and inbox flow for the CEO and COO in a fast-moving environment.
- Serve as a trusted partner to senior leadership by helping prioritize time, protect focus, and ensure follow-through on key initiatives.
- Proactively identify inefficiencies and implement smarter, more scalable workflows across scheduling, meeting preparation, communication, and administrative processes.
- Support the adoption of AI tools and automation to reduce friction, streamline recurring tasks, and improve productivity.
- Prepare draft communications, meeting agendas, briefing materials, follow-up notes, and other executive support materials.
- Help keep high-priority projects, meetings, and cross-functional deliverables organized and on track.
- Act as a highly professional gatekeeper in interactions with internal and external stakeholders.
- Handle highly sensitive information and situations with discretion, sound judgment, and a service-minded approach.
What We’re Looking For
- Strong organization, prioritization, follow-through, and attention to detail.
- A process-oriented mindset with a natural instinct to improve how work gets done.
- Genuine enthusiasm for technology, AI tools, and operational innovation — this is central to how we work, not an add-on.
- Experience using, or strong eagerness to learn, tools such as ChatGPT, Claude, Notion AI, and other workflow automation tools to increase efficiency.
- Strong written and verbal communication skills, with the ability to draft polished communications and materials on behalf of executives.
- High emotional intelligence, professionalism, discretion, and comfort operating in a fast-paced, high-accountability environment.
- Ability to stay calm under pressure, manage multiple priorities, and anticipate needs before they arise.
- Prior Executive Assistant, Chief of Staff support, or operations experience in a fast-paced environment preferred.
