The Job/What You’ll Do:
The Executive Assistant supports the CEO and serves as primary support to the Board of Directors and Advisory Council. This role will include frequent communication and interaction with senior-level personnel, Directors, and external collaborators and contacts to assist with departmental objectives.
Responsibilities:
Manages the CEO's calendar, scheduling internal and external meetings, including recurring meetings with the board of directors, committees, advisors, direct reports,
Coordinates Board communications, including but not limited to notifications of meeting agenda, schedules, distribution of correspondence, packets, and other Board-related communication.
Leads operational efforts with Board, CEO, legal counsel, and Board committee chairs to review policies, prepare required documents relating to the effective operation of Board and Board Committees meetings. Compose and/or records resolutions, charter revisions and Bylaws revisions in coordination with legal counsel.
Manages and updates Board of Directors, Advisory Council and Board Committee calendars, determine and plan the frequency of meetings.
Provide executive leadership with extensive and continuous calendar management, travel management, expense management, event registrations and detailed meeting plan management, and all other executive support.
Act as representative of executive leadership regarding internal and external relations and correspondences and screening communications.
Coordination of meetings, creating PowerPoint presentations, coordinating monthly reporting, use of Excel spreadsheets and ordering equipment, etc.
Arrange on- and off-site meetings, events, appointments & travel for departmental leadership with supporting materials as needed.
Ensure that executive leadership is informed of priorities, deadlines, and challenges.
Independently perform special projects that require a combined knowledge of administrative needs and technical operations.
Complete accurate and detailed leadership department expense reporting and other departmental reports.
Respond to a wide variety of requests for information, policies and procedures, and executive action. Analyze needs and problems and determine approach and priority.
Utilize efficient time management with the nuances of complex administrative assistance at the executive level.
Maintain confidentiality in all aspects of team and company information.
Operate independently with minimal supervision, while maintaining open communication and collaboration with supervisor and team to improve group processes.

Education & Experience:
3 - 5 years of experience in field, Required
Associates Degree, Preferred

While performing the job duties in the office or at a home office, the employee is frequently required to stand, walk, sit, and use hands; they must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus. Exposure to noise typical with office operations. Ability to hear and speak.
