The Doc Ops Team Manager manages and coordinates all general title and registration activities, including office administration and staff, and is responsible for the accuracy and efficiency ensuring all vehicles are registered and titled within company and state guideline expectations. The Doc Ops ATL performs a wide variety of complex clerical and supervisory tasks designed to ensure efficient operation of the Doc Ops Team in the accurate processing of titles of ownership and the issuance of vehicle license plates and registration as required by law for various vehicles. The Docs Ops ATL is directly responsible for the managing all BIN sales and providing support the to the Doc Ops team in relation to escalated or complex BIN transactions. Furthermore, the Doc Ops ATL monitors the maintenance of the suspense, lien holder, dealer, and registration only files and assists functional departments with customer problems and questions relating to titles, vehicle registration, sales and service. The Doc Ops ATL acts in providing front line supervision to Doc Ops personnel in conducting license and title transactions; and monitoring the operations and work of staff to ensure efficient and effective transactions and compliance with Federal and State DMV laws, policies, and procedures.

Responsibilities

  • Manage daily operations of the title & registration team supporting DMV vehicle registration and provide DMV guidance to other teams
  • Utilize off-the-shelf and internal tools to manage multiple document processes and statuses
  • Create and maintain the DMV registration playbook for all states and understand state-by-state nuances surrounding documentation, temporary registration, fees, etc.
  • Consistently analyze the performance of your team, and provide consistent coaching, training, and direction as needed
  • Work with cross-functional teams (i.e. Customer Support, Sales, and Field teams) to minimize error rates that slow down the registration process
  • Leading yourself and the team in a way that supports Shift’s Vision, Mission and core values
  • Interviewing qualified candidates as potential additions to an aggressively growing team
  • Work closely with Upper Management on developing and delivering training sessions, building process efficiencies, and title registration tooling
  • Support Product & Engineering in initiatives to improve efficiency of the team with technology

Requirements

  • Must be able to work weekends
  • Experience with DMV titling and preparing documents
  • Ability to multitask in a fast-paced, high volume environment
  • A keen eye for detail; thoroughness is mandatory.
  • Savvy and smart; we expect you to constantly be thinking about how we can improve our process
  • Nice to have previous automotive dealership experience in a similar role; deep understanding of all aspects of finance and paperwork related to delivering vehicles to customers.
  • Experience using DMV processing services (AVRS, DMVdesk, etc)
  • Understanding of DMV laws, regulations, processes, and forms necessary to facilitate vehicle transactions
  • Ability to read and interpret documents such as sales agreements, tax and title documents, and procedure manuals
  • Salesforce experience
  • Experience with Apple products a plus
