Description
We are seeking a highly organized and detail-oriented Executive Assistant for a part-time contract position, requiring 10–15 hours per week. Based in Minneapolis, Minnesota, this role involves providing comprehensive support to senior leadership. The ideal candidate will possess exceptional communication and administrative skills, proactive problem-solving abilities, and the ability to manage high-level responsibilities. Key tasks include scheduling, handling correspondence, and performing strategic administrative duties to ensure the executive office operates efficiently.
Responsibilities
- Manage the executive's calendar, including scheduling and confirming meetings, coordinating logistics, and preparing necessary materials.
- Draft, proofread, and oversee clear and accurate correspondence, reports, and presentations.
- Provide administrative support to the Board of Directors and committees, including organizing meetings, preparing agendas, and documenting follow-up actions.
- Plan and execute senior leadership and board-level meetings, ensuring seamless logistics and timely distribution of materials.
- Assist with the implementation of strategic priorities by enhancing workflows and identifying opportunities for improved efficiency.
- Organize and track the executive's daily, weekly, and quarterly priorities to align with organizational goals and optimize time management.
- Conduct research, resolve issues requiring executive attention, and draft responses or recommendations as needed.
- Collaborate with leadership on special projects and initiatives that advance the mission of the organization.
- Maintain organized filing systems for confidential documents, board materials, and other records.
- Support internal communications by contributing to agenda planning, presentation design, and event logistics for team meetings.
Requirements
- Proven experience in an executive assistant or similar administrative role, supporting senior leadership.
- Strong proficiency in calendar management, including scheduling and coordinating complex meetings.
- Expertise in Microsoft Office Suite, with the ability to create high-quality documents and presentations.
- Excellent written and verbal communication skills, with attention to detail and professionalism.
- Familiarity with CRM platforms and virtual meeting tools such as Zoom.
- Ability to manage confidential information with discretion and professionalism.
- Exceptional organizational skills, with the ability to multitask and prioritize effectively.
- Demonstrated ability to collaborate with cross-functional teams and manage multiple projects.
