2. About the Opportunity:
The Executive Assistant (CCO and VP of Marketing) plays a crucial role in supporting two senior leaders by managing complex schedules, coordinating logistics, and ensuring smooth daily operations. This position enables these executives to focus on strategic priorities by handling administrative and operational details efficiently across multiple time zones.
3. Responsibilities:
• Manage complex calendars for the Chief Customer Officer and VP of Marketing, including scheduling meetings across time zones and resolving conflicts
• Coordinate meeting logistics such as agendas, materials, conference links, and follow-ups
• Serve as liaison between executives and internal/external stakeholders to ensure effective communication
• Arrange and manage executive travel including flights, accommodations, and transportation
• Track priorities, deadlines, action items, and commitments to keep executives organized
• Support planning and execution of leadership meetings, customer events, conferences, and team offsites
• Manage administrative tasks including expense reporting, invoice processing, and document management
• Anticipate executive needs and proactively develop solutions to improve efficiency
• Handle confidential information with professionalism and discretion
• Support special projects and cross-functional initiatives while identifying process improvements
4. Requirements:
• Minimum of 3 years supporting senior executives, preferably in fast-paced tech or SaaS environments
• Experience managing complex executive calendars and coordinating across multiple stakeholders and time zones
• Strong organizational skills with attention to detail
• Ability to prioritize competing requests and adapt to changing priorities
• Excellent written, verbal, and interpersonal communication skills
• Proactive problem-solving mindset
• High professionalism and discretion with confidential information
• Ability to work independently with minimal direction
• Proficient with Google Workspace (Calendar, Gmail, Docs, Sheets, Slides)
• Familiarity with collaboration tools like Slack and Zoom preferred
• Positive attitude and strong sense of ownership
• Legal authorization to work in the United States without sponsorship
• Ability to sit for extended periods and work extensively on a computer
• Capability to work productively from a home office
• Consistent attendance and punctuality
5. Pay Range and Compensation Package:
• Annual base salary range: $65,000 - $70,000 depending on experience and qualifications
