Overview
The Project Manager will provide essential support to the leadership team by facilitating key meetings, managing reporting shareouts,creating team newsletters and assisting team leaders with project management for key campaigns and programs. This role focuses on project management for campaigns and programs, improving document centralization, file storage, and overall project organization to ensure team efficiency and cohesion. A highly skilled communicator, you will articulate complex information clearly and concisely both in writing and verbally. This role is crucial for building trust and rapport through transparent communication with our key stakeholders.
Responsibilities
Team Communication & Cross-Functional Alignment
- Lead comprehensive team communications by planning and facilitating key meetings, developing clear and concise agendas, tracking action items, and ensuring timely follow-ups. Convey information to prevent misunderstandings and delays.
- Serve as the primary communication lead, ensuring consistent messaging and streamlined collaboration across internal teams and stakeholders.
- Manage the collation and clear presentation of reporting shareouts, providing stakeholder teams with impactful updates on project progress, performance metrics, and upcoming priorities. This includes translating complex data into executive-ready summaries and recommendations with clarity and conciseness.
- Act as a key POC for strategic business partners, representing the Team in cross-functional and interdepartmental initiatives.
- Design, write, and distribute engaging team newsletters that highlight major milestones, upcoming priorities, and key business updates, demonstrating a strong written communication suitable for an executive audience
- Maintain the central team calendar with updated materials, project overviews, and documentation, ensuring information is easily accessible and clearly communicated at all levels
- Manage a calendar of virtual social activities for the team, fostering connection in a remote environment
Project Management for Programs and ad-hoc Campaigns:
- Partner with team leads to provide structured project management support for high-impact programs and ad-hoc campaigns.
- Track project timelines, key deliverables, and resource allocation to ensure deadlines and goals are met.
- Monitor progress, address risks, and keep all stakeholders aligned through clear, timely communication.
Document and Knowledge Management
- Lead the centralization and organization of team documents, assets, and project materials, with an eye towards optimizing clarity and accessibility of information for all levels of the organization.
- Implement and maintain version control and access protocols for streamlined knowledge sharing.
- Continuously optimize documentation systems and workflows to support scale and efficiency.
Process Optimisations and Operational Improvements
- Identify and implement process improvements that enhance team communication, reduce friction, and increase productivity.
- Evaluate and optimize tools for project tracking, collaboration, and reporting.
- Lead initiatives that improve cross-functional coordination and operational transparency.
Requirements
- Proven experience in project management, ideally within a marketing or creative environment.
- Strong organizational skills with attention to detail and a proactive approach to problem-solving.
- Excellent communication skills, both written and verbal, with the ability to tailor messaging for different audiences.
- Proficiency with project management tools (Asana preferable) and document management systems (e.g., Google Drive).
- Ability to manage multiple projects simultaneously and work well under pressure.
- Strong interpersonal skills and ability to work across multiple teams, departments and timezones
- Demonstrated experience in executive communication
- Proven ability to write clear, concise, and engaging content for various audiences, from internal team members to external stakeholders, with a particular emphasis on materials suitable for executive review. This includes strong grammar, spelling, and logical structure.
- Experience in a role where content creation and editorial skills were frequently utilized, particularly for high-level communications.
- Exceptional verbal communication and interpersonal skills, with a proven ability to build trust and rapport through consistent, honest, and transparent interactions, and the capacity to influence and collaborate effectively across all levels of an organization.
Preferred Qualifications
- Experience working in a digital marketing, conversion optimization, or content-driven environment.
- Expert familiarity with reporting tools (e.g., Excel, Google Analytics, Tableau) for tracking project performance.
