ORGANIZATIONAL STATUS:

Reports directly to the Marketing Director and to COO. Assist the Marketing Director in planning and directing ProTrain College’s social media accounts for lead generation to support the team. This includes establishing and contributing to overall objectives and priorities. This part-time position (20 hours a week, a set schedule is flexible to be established in a timeframe between the hours of 8 am – 5 pm, M-F, EST) will manage social media and web marketing communications to enhance the company’s lead generation efforts.

WORKING RELATIONSHIPS:

Works directly with the Marketing Director and the COO. Input and work with the Executive Leadership and Business Development (BD) and Sales Manager will be necessary at times. Considers the implications of proposed actions and decisions on the whole of the organization.

KEY ROLES & RESPONSIBILITIES:

Key Roles:

  • Rapidly acclimate to ProTrain; thoroughly knowing the company history, culture, and constituencies; understand the educational philosophy; know all marketing and communications activities of the company and the continuing education spectrum for non-credit and workforce certifications and credentials
  • Develop and implement marketing and communications strategies related to lead generation and plans that advance ProTrain College and drive increased engagement with prospective and current constituencies, utilizing social media, AI and other resources
  • Social Media Management: This includes crafting compelling content, managing social media platforms, engaging with followers, and monitoring performance
  • Content Creation: Developing various types of content, including text-based posts, visuals (images, videos), and potentially blog posts or website content. Create, update and review marketing and promotional flyers, banners, ads, etc
  • Web Presence: Assist with website content, ensuring SEO optimization, and monitoring performance of created marketing materials
  • Marketing Strategy: Contributing to overall marketing plans, researching target audiences, and staying up-to-date with industry trends
  • Communication: Effectively communicating with team members and stakeholders in a remote environment
  • Collaborate with ProTrain’s BD and Sales Team in articulating their purpose and ongoing work

Responsible for:

  • Working with the Marketing Director to provide input in the Development and implementation of an annual, strategic social media plan for ProTrain College and to include in the Marketing Director’s annual report and plan. Including but not limited to input for the ProTrain calendar to ensure marketing efforts, resources, and time are used efficiently for maximum return on investment
  • Planning social media for lead generation of our various audiences
  • Implements social media campaigns and lead generation campaigns, ensuring appropriate steps are secured and all details are handled creatively, timely, and cost-efficiently. This will be done through the development and implementation of social media strategies that successfully deliver information and key messages to generate leads for ProTrain College. Ability to write and implement engaging content, create visually appealing graphics, and video content. Expertise in Facebook, LinkedIn, Instagram Reels, YouTube shorts, TikTok, etc
  • Work with Marketing Director with market research activities associated with social media platforms and AI in order to keep abreast of changing prospective student interests and other relevant issues, to evaluate marketing and social media activities, and monitor emerging issues that will attract more leads
  • Ensure consistent branding and messaging quality and establish best practices and guidelines with the Marketing Director to apply across all departments, activities, and events
  • In collaboration with executive leadership, design strategies and implement concrete plans to increase sales from social media and AI generation, including website updates to the ProTrain College (www.protrain.edu) website based on WordPress, using an Elementor template while adhering to federal accessibility guidelines
  • In collaboration with the appropriate team members and working through the Marketing Director for the next year's strategy, with revisions each quarter, to design strategies and implement concrete plans to capitalize on increased visibility and clear branding of the company to drive increased lead generation
  • Plan for and create digital assets (Canva and other tools will be used) for social media, website, online ad campaigns, and email marketing, etc
  • Actively engage in personal professional development to remain current in best practices related to communications, emerging social media trends, AI, and effective marketing and lead generation strategies
  • Provide input to the Marketing Director, who conducts market research, analyzes consumer rating reports/ questionnaires, and provides feedback and recommendations to management
  • Update previous social media campaign database to conduct comparative analysis of company performance in the education marketplace as it relates to lead generation
  • Evaluate and analyze analytics information to gather important data in support of marketing campaigns and selling strategies
  • Create company marketing, communications, activities and materials, including publications, media relations, social media, and website updates, as they relate to lead generations to support the ProTrain College Team
  • Design and create marketing materials such as social media narratives, images, website content, email campaigns, and banners for lead generation by writing copy and formatting content and graphics at the direction of the Marketing Director
  • Use of various tools necessary for day-to-day operations, including CRM Tools: Salesforce and HubSpot
  • Analytics and Advertising: Online analytics
  • Design and Document Tools like Canva, Photoshop, InDesign, Adobe Acrobat and other applicable applications or tools you recommend for management to consider adding (with justification)
  • Assist in writing and proofreading all copy created and assist the Marketing Director in reviewing other marketing materials upon request
  • Compose and post content to the company’s website and social media accounts
  • Communicate through the Marketing Director and COO with BD and Sales Team and encourage trusting relationships
  • Track existing marketing and social media campaigns to completion and report on results to generate more leads. Develop new strategies to improve on existing and past marketing efforts. Be proactive in executing this strategy and integrate it into the sales and marketing plan/strategy with the Marketing Director for quarterly and annual usage
  • Submit ideas for experimental marketing programs, social media, and AI designed to enhance and grow the company’s brand
  • Receptive to opportunities for continuing education and professional development

  • Must have a willingness to learn and be proactive in finding solutions when an obstacle presents itself and put methods and procedures in place to avoid the situation from occurring. Developing, enhancing, and embracing best practices is a must when representing institutions of higher learning
  • Ability to demonstrate knowledge of ProTrain’s CRM (Salesforce) and use Salesforce as a daily tool, as well as HubSpot. ProTrain lives by the written word, and communications must be documented and stored in Salesforce. If it is not in Salesforce, then the communication never happened, as this is a virtual company. ProTrain must have one central repository for quick access to customer interactions
  • Ability to assist and give input to the COO and the Marketing Director for sales goals, projections, and budgets. Work with the Marketing Director, who will track progress to determine the probability of the outcome of the established corporate sales goals. By working closely with the BD and Sales Team, the Marketing Assistant will be able to provide input for marketing strategy and track performance metrics to increase revenues
  • Manage work with the Marketing Director for the BD and Sales Team, in graphic design, production, or other related areas to meet and exceed strategic lead generation
  • Ensuring that proper follow-up and necessary communication occur with all ProTrain personnel to create a proper workflow and achieve the desired marketing outcomes
  • Demonstrate teamwork and collaboration among ProTrain staff and our customers
  • Highly organized and very effective time management skills with excellent multi-tasking ability
  • Excellent written and verbal communication skills are essential for collaborating remotely
  • Technical Proficiency – Comfortable with social media management platforms, web tools, and WordPress
  • Marketing Knowledge - Understanding digital marketing principles, SEO, online advertising, rules for working with various verticals (military, colleges, WIOA offices, etc.), and federal accessibility guidelines
  • Ability to set and enforce corporate marketing branding but remain flexible when customer conditions require, while researching and obtaining the facts, and making a suggestion for resolution
  • Continually improve marketing, social media, overall communications, and sales on behalf of ProTrain and/or ProTrain’s clients, such as Universities, Community Colleges, private schools, B2B, etc. (when applicable)
  • The Employee must be able to use the Microsoft Office Suite, have excellent computer skills, and be willing to learn new and innovative programs
  • Employee will work virtually requiring a quiet and effective home office (computer, ability to use company provided communication tools, etc.) capability
  • Maintain expertise of the process and assist with marketing for projects that relates to WIOA, Active-Duty Military and Military Spouse, Corporate, Self-Pay, RFP’s, Grants, and various proposals, etc
  • Document and seek to improve the processes utilized in the performance of this agreement and to seek ways to improve overall marketing, brand awareness, and sales operations
  • The Employee shall ensure they use the following business practices in the execution of their duties as Marketing Assistant:
  • Remain familiar with ProTrain’s course offerings /product lines.
  • Research the industry and be proactive in making suggestions to improve sales division and overall company
  • Working through the Marketing Director and COO, who will then coordinate with all levels of ProTrain’s management team closely in all aspects of sales and customer service as related to marketing
