Job Description:
The Finance and Operations Manager will oversee and execute the agency’s billing, invoicing, payments, and reporting functions. This role requires a hands-on operator who thrives in a fast-paced environment, has a process-driven mindset, and is comfortable interacting with internal teams and external finance partners.
Key Responsibilities:
Billing & Invoicing:
- Own the full invoicing process for client accounts (retainers and projects)
- Track accounts receivable and proactively follow up on late payments
- Ensure invoices are aligned with contracts and scopes of work
- Maintain accurate billing records and documentation
Accounts Payable & Vendor Management:
- Manage all vendor and subcontractor payments
- Reconcile agency expenses, credit cards, and reimbursements
- Ensure timely payment cycles and maintain strong vendor relationships
Cash Flow, Reporting & Financial Support:
- Monitor cash flow and maintain weekly and monthly financial dashboards
- Support forecasting and budget tracking in collaboration with the CEO
- Prepare ad hoc reports and summaries for leadership
- Liaise with external accountants or bookkeepers to support tax prep and financial audits
Collaboration with Internal Teams:
- Partner with Account Management, Project Management and Media teams to track project budgets and actuals
- Support internal teams in monitoring scope vs. spend across campaigns and retainers
- Provide financial insights to help project owners stay on budget and forecast resourcing needs
- Flag potential overages and assist with internal budget reconciliation
Process & Systems Improvement:
- Refine financial workflows for efficiency, accuracy, and scalability
- Maintain and optimize financial tools such as QuickBooks, ADP, etc.
- Support the development of SOPs for finance and operational best practices
Qualifications:
- 3–5 years of experience in finance, billing, or business operations—ideally within a marketing agency, creative services, or professional services firm
- Hands-on experience with invoicing, vendor management, and reporting
- Proficiency in accounting and operations software (e.g., QuickBooks)
- Experience collaborating with cross-functional teams on budget or resourcing issues
- Comfortable working directly with agency leadership and external partners
- Self-starter who thrives in a fast-growing, entrepreneurial environment
