OneTake Pte Ltd is a Singapore-based B2B SaaS startup. Our AI agent turns raw videos into professional presentations. It helps entrepreneurs and content creators produce professional videos with just one click, by handling everything from background noise removal to automated captioning and unique background music composition - just like a human video editor would. Founded in August 2023, we're a fast-growing company with a small team of less than 10 people, currently raising our Seed round and expanding to reach customers in the entire world.
Position Summary
We're seeking an exceptional Executive Assistant to support our CEO and join our mission of empowering entrepreneurs through AI.
This isn't your typical EA role – we're looking for someone with strong business acumen and the potential to grow into a Business Operations Manager position. The ideal candidate will combine traditional EA duties with strategic business responsibilities.
You will report to the CEO primarily, with dotted-line reporting to the COO.
Key ResponsibilitiesExecutive Assistant Duties
Manage the CEO's calendar, email correspondence, and travel arrangements
Coordinate meetings, including international travel logistics (with 60+ days advance planning)
Handle personal and professional administrative tasks for the CEO
Maintain organized documentation and procedures for your role - critical as you will be expected to hire your own replacement in this position within a few years when moving on to a Business Operations Manager position as the team expands.
Act as the primary point of contact between the CEO and internal/external stakeholders
Business Operations Responsibilities
Assist in screening and evaluating potential candidates for open positions
Negotiate partnerships and vendor agreements
Participate in weekly team meetings to ensure alignment on priorities
Collaborate with the accounting assistant and COO on financial matters
Financial & Reporting Duties
Maintain and update financial dashboards and projections
Review initial versions of contracts and monthly management reports
Prepare and distribute monthly investor updates
Assist in preparing quarterly investor presentation materials
Keep investor contact lists and communication records up-to-date
Success Criteria
After you’ve spent a year in this position, how will we assess your success in the role?
You've managed the CEO's time, personal arrangements and travel schedule with optimal use of time and no schedule conflicts. All travel is scheduled and purchased 60 days in advance.
You've ensured all investor updates and reports are delivered on time and with high quality
Financial dashboards and projections are consistently accurate and up-to-date
You've assisted the COO in screening high-quality candidates for open positions
You've kept clear SOPs up-to-date for all recurring EA tasks
You've demonstrated ability to anticipate and proactively solve problems before they reach the CEO
Required Qualifications
Bachelor's degree or equivalent in business, accounting, or finance
Minimum 3 years of relevant experience in accounting/finance, executive assistance, leadership positions, or tech startups
Business-level proficiency in both English and French
Demonstrated experience using AI tools in a professional context
Strong problem-solving and critical thinking skills
Exceptional attention to detail and follow-through capabilities
Clear communication skills and professional writing ability

Understanding of SaaS business models and startup operations
Experience with financial reporting and basic accounting principles
Strong analytical and logical thinking capabilities
