About The Role
As an Executive Assistant, your mission is to provide high-level, reliable, and strategic support to senior executives—primarily in the US or Australia. You’ll play a crucial role in helping them stay organized, focused, and prepared by managing schedules, communications, and administrative tasks with precision and confidentiality.
Responsibilities
- Manage complex calendars across time zones, prioritize scheduling requests, and ensure prompt email correspondence and follow-ups.
- Schedule and prepare for internal and external meetings, create agendas, take minutes, and coordinate post-meeting action items.
- Plan and book domestic and international travel, including flights, accommodations, transportation, and detailed itineraries.
- Draft, edit, and proofread professional correspondence, documents, presentations, and reports.
- Handle a variety of executive-level tasks including expense reporting, file management, light research, and task tracking.
- Serve as the gatekeeper and bridge between executives, clients, and internal teams—maintaining a high level of professionalism at all times.
Competencies And Qualifications
- At least 3 years of experience as an Executive Assistant, supporting senior executives—preferably with US or Australian clients.
- Comfortable working across multiple time zones, particularly US or AU hours.
- Strong working knowledge of Google Workspace, Microsoft Office, Zoom, Slack, and project/task management tools like Asana, Trello, or Notion.
- Excellent written and verbal communication skills with the ability to represent executives professionally.
- Exceptional attention to detail, ability to multitask, and strong prioritization skills. You’re self-motivated and anticipate needs before they arise.
- Demonstrated ability to handle sensitive information with integrity and discretion.
