About The Role
As an Executive Assistant, you will provide comprehensive support to multiple executives. This role requires someone who can manage inboxes and calendars with precision, handle administrative and financial tasks efficiently, and confidently support executives without constant supervision.
We are looking for a proactive and highly organized Executive Assistant to support multiple executives within a fast-paced, creative environment. The ideal candidate has excellent communication skills, a keen eye for detail, and the ability to manage competing priorities independently.
Responsibilities
- Inbox Management: Organize, monitor, and respond to email correspondence; flag and prioritize messages as needed.
- Calendar Management: Schedule and coordinate meetings, appointments, and events for multiple executives, ensuring optimal time management.
- Research & Reporting: Conduct research on various topics; prepare clear and concise reports, summaries, or presentations.
- Finance Support: Manage invoices, process payments, and maintain accurate financial documentation.
- Administrative Support: Prepare documents, handle expense reporting, maintain digital records, and support other admin needs.
- Social Media Support: Assist with content scheduling and account management across platforms (as needed).
- Task Management: Prioritize daily tasks, ensure timely completion of deliverables, and anticipate executive needs.
- Travel Coordination: Plan and coordinate domestic and international travel, including booking flights, arranging accommodations, managing transportation, and preparing detailed itineraries.
- Online Property Management Support: Assist with the coordination and communication related to the company’s holiday let properties. This includes managing emails, responding to guest or team inquiries, and liaising with on-the-ground staff to ensure smooth day-to-day operations.
- Communication: Draft professional emails and communications on behalf of executives.
Competencies And Qualifications
Must Have
- 3–5 years of experience as an Executive Assistant, Admin Assistant, or in a similar support role
- Proficiency with tools like Google Workspace, Microsoft Office, and calendar/email platforms
- Proficiency in Trello or similar software
- Demonstrated ability to work independently and take initiative
- Strong organizational and time management skills
- Excellent written and verbal communication skills
Nice to Have
- Experience working with Australian-based businesses or executives
- Familiarity with social media platforms and scheduling tools
- Basic photo editing skills
