Our large SaaS client is looking for a contract Event Marketing Specialist. This is a fully remote role.
Our client is looking for a highly organized and detail-oriented Event Marketing Specialist to support the content planning and execution of breakout sessions at our annual user conference, Connections. This role will provide administrative and operational support to the event marketing team while ensuring smooth coordination of content, speakers, and logistics.
As an Event Marketing Specialist, you will assist in speaker communications, schedule tracking, content organization, and process management. This role is ideal for someone who is proactive, process-driven, and eager to gain hands-on experience in event marketing within a fast-paced, collaborative environment.
Contract Duration: 9-Months
must be strong in Google Workspace/G suite and be able to manage the breakout sessions
Required Skills & Experience
- 1-3 years of experience in marketing, events, project coordination, or administrative support.
- Strong organizational and time management skills with the ability to juggle multiple priorities.
- Proficiency with Google Workspace (Docs, Sheets, Slides) and project management tools (Smartsheet, Monday.com, or similar).
- Strong written and verbal communication skills with attention to detail.
- Ability to work independently while collaborating effectively with cross-functional teams.
Key Requirements:
- Experience working in a technical company.
- Strong background in managing conference breakouts (at least 20+), with a major upcoming event in October (Connections conference in Las Vegas, featuring 80+ breakouts).
- Expertise in Google Workspace ("Google guru"), as they will be transitioning the breakout process from Smartsheet to Google.
- There is a process already created but this person will be able to fine tune if needed.
- Solid project management skills, with the ability to run and lead meetings.
- Strong communication skills.
- Will work closely with Content Lead, as well as the Product Marketing and User Group teams.
- Preferred location: Bay Area, but open to remote candidates with strong breakout experience.
Desired Skills & Experience
- Experience with event management platforms (e.g., Cvent, Bizzabo) or AV production is a plus but not required.
- Preferred to have experience in Gsuite as they will be building tools in the Gsuite platform.
- Preferred to have experience with conferences and break out process work
Daily Responsibilities
- Serve as a point of contact for speaker logistics, answering basic inquiries and escalating issues as needed.
- Assist in coordinating speaker communications, as well as collecting bios, headshots, and presentation materials and ensuring speaker registration
- Track content milestones, submissions and deadlines, ensuring all materials are received and reviewed by necessary stakeholders in a timely manner
- Maintain and update event project plans, content trackers, and calendars.
- Organize and distribute meeting notes, follow-up items, and deadlines.
- Support internal review cycles by gathering feedback and updating documents accordingly.
- Collaborate with the production team to ensure successful on-site execution of breakout sessions.
- Coordinate internal meetings between marketing, product teams, and event operations.
- Document and refine event processes to improve efficiency.
- Work with the Event Technology Manager to maintain session details and updates in event management systems, like Cvent, both pre-event and on-demand.
- Help test and troubleshoot event technology platforms as needed.
- Support post-event analysis and reporting to measure success.
