Our leadership development firm is on a mission to empower tech leaders through certified speaking, coaching and training programs. We are seeking a highly organized, detail-oriented Marketing and Operations Coordinator to support our Founding Principal, Operations Manager, and team of coaches/trainers.
This role will primarily focus on executing marketing initiatives (outreach strategy, funnel management, lead generation, and content generation) while also supporting business operations (calendaring, project management, and other admin responsibilities). The ideal candidate thrives in a fast-paced environment, excels in both written and verbal communication, and can effectively manage multiple priorities with a proactive and solutions-oriented approach. They should be a fast-learner with the ability to adapt as the business and its initiatives evolve. A keen eye for design and light website management experience is a plus.
Marketing-specific Responsibilities
- Lead Generation Management: Own and optimize lead generation processes, ensuring consistent tracking, follow-up, and pipeline development aligned with business goals.
- Speaker Opportunity Research & Outreach: Proactively research speaking opportunities, manage outreach efforts, and maintain up-to-date records of applications and follow-ups.
- Content Generation & Management: Create and curate engaging content for various channels, including social media, blogs, newsletters, and marketing campaigns, aligned with brand voice and strategic goals.
- Newsletter Management: Develop, design, and distribute regular newsletters; manage subscriber lists and performance analytics to optimize engagement.
- Content & Outreach Data Management: Maintain accurate databases and tracking systems for content campaigns, outreach efforts, and engagement metrics.
- LinkedIn Management & Strategy: Develop and manage content calendars, write and schedule posts, engage with the community, and support visibility efforts on LinkedIn.
- Graphic & Website Management (Light): Support light design and maintenance of marketing materials, social graphics, and basic website updates to ensure consistent branding and user experience.
Operations-specific Responsibilities
- Strategic Calendar & Schedule Management: Proactively manage and optimize executives’ calendars, anticipating needs, resolving conflicts, and ensuring efficient scheduling of meetings, appointments, and events.
- Prioritization & Workflow Optimization: Assess meeting requests and prioritize scheduling based on business objectives, deadlines, and executive bandwidth.
- Administrative & Operational Support: Provide high-level support, including light slide editing in Google Slides, and handling correspondence accurately and carefully.
- Travel Arrangements: Independently research, book, and manage travel logistics, ensuring cost-effectiveness and efficiency.
Must-Have Skills
- Proven Experience: At least 5+ years in a marketing, operations, executive assistant, or administrative coordination role with a strong emphasis on marketing and content management.
- Organizational Excellence: Highly detail-oriented with the ability to anticipate challenges, streamline workflows, and manage competing priorities.
- Communication Mastery: Strong written and verbal communication skills to professionally represent executives and facilitate seamless collaboration.
- Initiative & Problem-Solving: A proactive, solutions-oriented mindset that can foresee potential roadblocks and address them before they arise.
- Tech Proficiency: Comfortable working in Slack, G-Suite, and other digital marketing tools to optimize productivity.
- Discretion & Confidentiality: Ability to handle sensitive information with professionalism and integrity.
- Time Zone & Availability: Must be able to work Pacific Time (PST), 8:30 AM – 5:00 PM.
Nice to Have
- Experience with project management tools (e.g., Asana, ClickUp, Notion).
- Experience with ChatGPT and AI-automation tools
- Experience with LinkedIn marketing efforts, including Sales Navigator outreach, Dripify automation, direct messaging, and content scheduling
