This role requires a proactive and detail-oriented individual with excellent organizational and communication skills to support our executive team effectively.
Position Overview:
The Executive Assistant plays a pivotal role in providing high-level administrative support to the CEO and senior executives within the organization. This position involves managing complex calendars, coordinating meetings, and handling communications, both internally and externally. The Executive Assistant is responsible for organizing and prioritizing tasks, including travel arrangements and expense management, to ensure the executives’ time is optimized and their responsibilities are streamlined. Additionally, this role requires maintaining confidentiality, anticipating the needs of the executives, and facilitating seamless communication and workflow within the organization. The ideal candidate for this position should have exceptional organizational skills, strong communication abilities, and the capability to work in a fast-paced, dynamic environment.
- Calendar Management: Managing the executive’s calendar, including making appointments and prioritizing the most important or time-sensitive matters.
- Inbox (E-mail) Management: Monitor, filter, and prioritize emails, ensuring timely responses and action on critical matters.
- Recording Meeting Minutes: Attend and record minutes during meetings, ensuring accurate documentation of discussions and action items.
- Preparing and Reviewing Documents: Create, format, and review documents, including presentations and reports, maintaining a high standard of quality and accuracy.
- Travel & Itinerary Management: Handle all aspects of travel planning, including booking, itineraries, and accommodations.
- Virtual Assistant Sourcing: Source and manage virtual assistants (VAs) or support services for members of the wider leadership team and their family where applicable, optimizing their professional and personal efficiency.
- Personal Travel Logistics: Facilitate personal travel logistics, enabling a seamless integration between business travel commitments and family obligations.
- Confidential Handling: Maintain strict confidentiality and discretion when handling personal and confidential work matters for the executive team.
- Central Point of Contact: Act as a central point of contact for requests from executives and efficiently address them, contributing to the executives' overall productivity.
- Ad-Hoc Support: Undertake ad-hoc tasks and projects to support the overall productivity and well-being of the leadership team.
Core Competencies:
- Excellent Communication Skills: Exceptional written and verbal communication, with a strong command of English to facilitate clear and effective interactions.
- Administrative Experience: Previous experience in administrative or support roles, ideally supporting C-level executives.
- Tech Savvy: Proficiency with technology, including our tools, which includes Notion, Google Suite, Slack, and Office 365.
- Attention to Detail: A keen eye for detail and the ability to maintain a high level of accuracy in all tasks.
- Flexibility: Willingness to frequently work non-conventional hours as needed by the business to accommodate the varied schedules of our leadership team.
Requirements:
- Proven experience in an administrative or support role, preferably supporting executives.
- Must be able to work EST hours
- Proficiency in Notion, Google Suite, Slack, and Office 365.
- Strong written and verbal communication skills in English.
- Exceptional organizational skills and the ability to multitask effectively.
- A proactive and resourceful approach to problem-solving.
- Ability to maintain a high degree of confidentiality and professionalism.
- Strong project management skills to oversee and execute special projects.
- Strong interpersonal skills to work with people across different departments and levels of seniority, including both internal and external stakeholders.
