Responsibilities
- Manage and coordinate meetings, calls, and shoots.
- Keep calendars, reminders, and scheduling systems organized.
- Serve as the point of contact for internal and external scheduling inquiries.
- Prepare agendas, meeting materials, and take meeting minutes.
- Track follow-ups and ensure timely updates across teams.
- Maintain accurate records of meetings, calls, and tasks.
- Collaborate with stakeholders and external contacts to manage calls.
- Resolve scheduling conflicts and prioritize with urgency.
- Continuously improve scheduling systems and internal SOPs.
- Support HR processes, including onboarding, offboarding, and payroll coordination.
- Generate contracts and assist with candidate engagement.
- Manage email broadcast tools and automate key communications.
- Help integrate AI tools for increased team efficiency.
Requirements
- 3+ years of experience as an Executive Assistant or in a similar coordination role.
- Highly organized with excellent time and priority management skills.
- Strong written and verbal communication skills.
- Tech-savvy with the ability to quickly learn new tools (e.g., calendar tools, automation, CRMs).
- Comfortable working independently and taking initiative.
- Exceptional attention to detail and a strong sense of ownership.
- High level of discretion and ability to maintain confidentiality.
- Comfortable working remotely with distributed teams.
