Who we are looking for:
We are looking for a highly organized and proactive Marketing Admin Assistant with at least 3 years of experience in an administrative, marketing, or project coordination role. The ideal candidate is detail-oriented, skilled in task management and client communication, and has experience with Google Suite, project management tools (Asana), and reporting. A problem-solving mindset and the ability to manage multiple tasks efficiently are key to success in this role.
What you'll do:
Client & Internal Communication Support
- Assist with client and internal calls by creating and assigning tasks based on discussions.
- Send client agendas, updates, and status reports to maintain streamlined communication.
- Respond to basic client emails and inquiries as needed.
- Coordinate revenue splits and ensure all necessary information is available for the team.
- Help coordinate upsell opportunities and track execution.
- Follow up internally and with clients to ensure pending tasks are completed.
- Monitor Statements of Work (SOWs) to confirm scope execution and follow up when necessary.
Reporting & Data Management
- Pull reports and summarize key performance metrics.
- Copy/paste data into reports and update relevant documents.
- Fill in the eCommerce calculator to track and analyze performance.
Summaries & Task Management
- Compile updates and action items for both clients and internal teams.
- Track and organize tasks, emails, and messages to ensure smooth execution.
General Marketing Support
- Assist in updating strategy decks and presentations.
- Make small design or website edits as needed.
- Turn ads or promotions on/off per client requests.
- Investigate performance issues (e.g., analyzing why sales dropped last week).
- Conduct quality assurance (QA) for data, creatives, and marketing materials to ensure they align with brand and client expectations.
What you'll need:
- 3+ years of experience in an administrative, marketing, or project coordination role.
- Strong organizational and communication skills.
- Ability to manage multiple tasks and follow up proactively.
- Experience with Google Suite, project management tools (Asana), and basic reporting.
- Basic design/web editing skills (a plus but not required).
- A problem-solving mindset with a keen eye for detail.
