Job Description:

We are seeking a highly organized and proactive Executive Marketing Assistant to support the marketing team in executing campaigns, managing vendors, coordinating media buys, and ensuring smooth day-to-day marketing operations. This role requires exceptional attention to detail, strong communication skills, and the ability to manage multiple priorities in a fast-paced environment. The ideal candidate is creative, analytical, and able to balance both strategic and administrative marketing tasks.

Key Responsibilities:

Media Buying & Vendor Management

  • Manage media buying activities, including organizing media buy dates and ensuring all necessary creative assets are prepared and submitted on time.
  • Coordinate with external vendors and media partners to maintain strong relationships and ensure timely deliverables.
  • Oversee vendor invoicing and ensure accurate and prompt processing of payments.

Marketing Operations & Scheduling

  • Maintain and update the marketing content calendar, ensuring alignment with campaigns, grant cycles, and key conferences.
  • Manage task scheduling and coordinate with internal teams to ensure timely project completion.
  • Assist in budget tracking and reporting, monitoring expenses related to marketing activities and campaigns.
  • Conduct Q/A on ads and marketing assets to ensure accuracy, consistency, and quality.

Data & Analytics

  • Conduct visitation analysis, pulling and organizing data into spreadsheets for reporting and insights.
  • Compile and analyze marketing reports, providing recommendations to improve campaign performance.

Content & Marketing Support

  • Assist in content writing for SEO and marketing materials.
  • Manage organic social media posting, ensuring content is consistent with brand tone and goals.
  • Perform simple website updates (e.g., uploading new content, updating event pages, or posting announcements).
  • Support marketing initiatives by gathering creative assets and coordinating with design or content teams.

Administrative & Client Support

  • Maintain organized records of marketing activities, deadlines, and deliverables.
  • Support the invoicing of clients and ensure accurate billing and documentation.
  • Provide general administrative assistance to the Marketing Executive and other team members as needed.

Requirements:

  • Bachelor’s degree in Marketing, Communications, Business Administration, or a related field.
  • At least 2–3 years of experience in a marketing coordination or executive support role.
  • Strong organizational and multitasking abilities with a keen eye for detail.
  • Proficiency in Microsoft Office, Google Workspace, and marketing tools such as Canva, HubSpot, or Hootsuite.
  • Basic knowledge of SEO, content creation, and social media management.
  • Experience with data reporting and analysis using spreadsheets or analytics tools.
  • Excellent communication and interpersonal skills.
  • Ability to work independently while managing multiple priorities and deadlines.
