Who we are looking for:
We’re looking for a sharp, trustworthy, and resourceful Operations & Executive Assistant to join a company in the IT services and managed service provider (MSP) industry. This role is ideal for someone who enjoys solving problems, improving business processes, and supporting leadership. You should be comfortable working cross-functionally and balancing strategic thinking with hands-on execution.
What you'll do:
- Review existing operational systems and streamline recurring processes.
- Collaborate with leadership to improve efficiency and reduce operational waste.
- Support implementation of new tools such as AutoElevate, Rewst, and Helpdesk Buttons.
- Analyze QuickBooks data to clarify ROI per client and support financial decision-making.
- Create and manage reports and dashboards for visibility and accountability.
- Schedule and track Quarterly Business Reviews (QBRs) and monitor client satisfaction.
- Support the founder with communication, follow-ups, and high-level task prioritization.
- Identify upsell opportunities and process improvement within existing client accounts.
What you'll need:
- A natural problem-solver who enjoys making systems more efficient.
- High attention to detail and strong follow-through on tasks.
- Familiarity with QuickBooks and comfort working with business data and spreadsheets.
- Excellent written and verbal English communication.
- Trustworthiness and discretion with sensitive company information.
- Experience supporting executives or working cross-functionally in operations roles.
- Familiarity with IT services or MSP environments.
- Experience with PSA tools like Autotask.
- Basic project management skills and the ability to juggle multiple responsibilities.
- Familiarity with tools like QuickBooks, Autotask, Google Workspace, Slack, Google Sheets, AutoElevate, Rewst, and Helpdesk Buttons is preferred.
