About the role
We’re looking for a proactive Executive Assistant who’s ready to jump in, help us move faster, and keep us focused.
First and foremost, you’ll embody our Core Values — building genuine relationships, embracing change, and taking initiative to support our work and our people.
You’ll be the backbone of our daily operations, making sure everything runs smoothly and giving our leadership team the space to focus on big-picture strategy.
Here’s what you’ll be doing:
✉️ Managing inboxes for the C-Suite and company-wide inquiries
📬 Overseeing our virtual mailbox and distributing mail
📝 Handling admin tasks like expense submissions, PTO approvals, timesheet reviews, and travel bookings
⚙️ Helping to maintain internal tools and systems (like Notion, GDrive, or Slack channels)
📔 Creating or improving internal process documentation
🤝 Coordinating contractor and employee onboarding
📑 Maintaining documentation for our multinational team located in the United States and Costa Rica
🎉 Planning company events and team touchpoints (both fun and functional!)
💚 Serving as a cultural ambassador — making sure birthdays, milestones, and wins don’t go unnoticed
📌 Supporting special projects as needed.
⏰Working Hours: This is a full-time role, and you’ll need to overlap with US Central Time for at least 4-5 hours per day, between 9 am to 4 pm CT.
About you
To excel in this role, you need to have:
✅ Previous experience as an Executive Assistant or Office Manager
✅ Experience working for an International or US-based company
✅ Experience supporting more than one Senior stakeholder.
✅ Strong written and verbal communication skills
✅ Ability to handle sensitive information with discretion and confidentiality
✅ Self-starter who can take initiative and "manage up"
✅ Basic understanding of agency operations and/or web terminology
Brownie points for:
🌟 Experience working within an Agency/start-up environment.
🌟 Experience with G-Suite, HRIS, and performance management tools (like BambooHR and Lattice)
🌟 Familiarity with finance operations tools like Bill.com and Divvy.

What’s in it for you?
💰Salary: $2,000 - $2,500 per month*, depending on experience
🕒 Full-time: Fully remote
🏖️ Paid Time Off: 20-25 days of paid time off per year + Major US Holidays.
