Executive & Personal Assistant
A client of Insight Global is seeking an Executive & Personal Assistant to join a highly collaborative executive support team within a fast-growing organization. This individual will provide high-touch support across executive, operational, travel, event, and personal priorities while building trusted relationships with senior leadership.
This role is ideal for a proactive professional who thrives in dynamic environments, communicates consistently, anticipates needs before they arise, and operates with a strong sense of urgency, ownership, and discretion. The successful candidate will become a trusted extension of the leadership team, helping ensure executives remain focused on strategic priorities while providing seamless support behind the scenes.
This position will initially support executives within the broader leadership organization with the opportunity to grow into supporting senior executive leadership as trust and responsibilities expand.
Day-to-Day Responsibilities
Executive Support & Calendar Management
- Manage complex executive calendars involving shifting priorities, multiple stakeholders, travel schedules, and competing business demands.
- Coordinate meetings, appointments, leadership sessions, and executive commitments across multiple time zones.
- Prioritize requests and scheduling decisions to maximize executive efficiency and effectiveness.
- Prepare executives with meeting materials, briefing documents, agendas, and relevant background information.
- Maintain ongoing visibility into executive priorities and proactively anticipate upcoming needs.
Executive Communication & Relationship Management
- Serve as a trusted point of contact between executives, leadership teams, partners, and stakeholders.
- Draft, edit, and manage professional communications on behalf of executives.
- Maintain proactive, transparent communication regarding schedules, priorities, requests, and follow-up items.
- Ensure confidential information is handled with the highest level of professionalism and discretion.
- Build strong working relationships across all levels of the organization.
Travel, Events & Logistics
- Coordinate executive travel, including itineraries, flights, accommodations, transportation, dining, and event logistics.
- Manage travel changes and unexpected disruptions while minimizing impact to executive schedules.
- Support executive participation in conferences, company events, leadership meetings, and industry gatherings.
- Prepare detailed travel packets, itineraries, and supporting documentation.
- Assist with event planning, coordination, and on-site logistical support when necessary.
Executive & Personal Support
- Coordinate select personal and executive-related tasks that contribute to overall efficiency and productivity.
- Track important dates, reminders, commitments, and special projects.
- Anticipate needs and identify opportunities to proactively support executives before requests are made.
- Assist with special projects requiring a high degree of trust, organization, and attention to detail.
Operational & Administrative Coordination
- Track executive action items, deliverables, and follow-up activities.
- Coordinate with leaders and stakeholders to ensure tasks and commitments remain on schedule.
- Monitor deadlines, priorities, and ongoing initiatives to help maintain operational flow.
- Identify potential issues early and proactively develop solutions.

- Experience managing complex calendars, executive schedules, travel coordination, and competing priorities.
- Demonstrated ability to operate independently in fast-paced, high-accountability environments.
- Exceptional written, verbal, and interpersonal communication skills.
- Proven ability to maintain discretion while handling sensitive and confidential information.
- Strong organizational skills with excellent attention to detail.
- High proficiency with Microsoft Outlook, Word, Excel, PowerPoint, and related business technologies.
- Demonstrated ability to manage changing priorities and adapt quickly to evolving executive needs.
- Experience providing highly responsive support to executives and stakeholders.
- Ability and willingness to travel periodically throughout the year for leadership meetings, conferences, and company events.
