The Opportunity
We are looking for an experienced Executive and Personal Assistant to support the Founders/Owners of the company. The role requires someone who can protect the owners' time by helping them focus on their highest and best uses while ensuring that projects and daily activities run smoothly. This position is an excellent opportunity for a proactive, detail-oriented individual to work closely with visionary leaders in a fast-paced environment, with an emphasis on systems building and process optimization.
Responsibilities
> Executive Support:
- Manage emails, calendars, and scheduling to ensure efficient time management.
- Draft and organize communications; respond to emails with minimal input.
- Carefully manage personal and business expenses.
- Coordinate with internal leaders on high-priority deliverables.
- Book and manage complex travel arrangements, events, and speaking engagements.
- Handle logistics for events, purchases, contracts, and more.
- Provide support for negotiations, contracts, and communications with key stakeholders.
- Conduct online research and manage special projects.
- Ensure all administrative tasks are handled to save time for the owners.
- Anticipate needs and stay five steps ahead, transforming inefficiency into streamlined, repeatable systems.
- Execute tasks on time, with accuracy, and minimal oversight.
> Personal & Lifestyle Support:
- Coordinate personal appointments, including events, doctor’s appointments, and social functions.
- Manage personal residence logistics in collaboration with property management.
- Procure personal items as needed.
- Oversee personal and company vehicle management.
Who You Are
- Bilingual: Native or near-native fluency in English and Spanish (written and spoken).
- Experience: At least 5+ years as an Executive or Personal Assistant to a CEO, founder, or senior executive.
- Educational Background: Preferably a Bachelor's or equivalent degree with strong academic credentials. Advanced degrees in business are a plus.
- Tech-Savvy: Proficiency with various digital tools and AI is highly preferred.
- Skills: Excellent written communication, research, negotiation, and project management skills.
- Personal Qualities: High emotional intelligence, calm under pressure, proactive problem solver, and self-motivated.
- Passion: Enthusiasm for health, wellness, travel, art, culture, and sustainability.
- Flexible: Willingness to work full-time with occasional flexibility for evening or weekend tasks.
