You’re confident working with legal, finance, and HR teams, and you know your way around various tools and systems. Whether handling internal ops, compliance paperwork, streamlining communications, or augmenting your executive's productivity by automating more with the latest AI tools, you take the initiative and keep things moving to optimize and elevate your leaders’ time, their client experience, and the business infrastructure. You enjoy project management and pride yourself on adroitly tracking many moving parts for your leader and their businesses.
This remote, flexible role is designed for someone who wants meaningful, high-impact work without compromising excellence.
-Has a high degree of poise, professionalism, and integrity.
-Is interested in joining a team where they can onboard slowly and grow over time (applies only to the 2nd role above; the 1st role will start with a dedicated 25 hours/week).
-Is highly organized and comfortable proactively taking ownership, scheduling meetings, managing projects, and responding to emails on the client’s behalf.
-Is focused on customer service/satisfaction/hospitality. Can see the big picture, provide strategic recommendations, and implement them.
This role requires tech-savviness and the ability to learn and get up to speed quickly on any new system.
-The ability to be responsive during business hours is vital.
Responsibilities may include:
-Aid executive in preparing for meetings
-Responding to emails and document requests on behalf of executives
-Comfortable and self-assured communicating with high-level executives in Fortune companies and representing the client with the utmost professionalism in communication, and the ability to speak articulately and effectively
-Make travel arrangements
-Oversee planning and coordinating workshops and events
-Help troubleshoot and support CRMs and other systems
-Answer emails and phone calls from clients, and return client calls
-Manage calendar and appointments
-Communicate clearly and effectively with the team
-Manage projects as they arise
-Create and document processes and SOPs
-Organize and maintain files
-Provide strategic support and recommendations
Qualifications & Requirements
-C-Suite or equivalent experience (7+ years minimum)
-Bachelor’s degree or equivalent experience
-Proficient in Microsoft Office and Google Suite
-Experience working with a CRM and Zoom
-Experience in managing multiple priorities, administrative coordination, high-level communications, and logistics
-Well-organized, detail-oriented, able to multitask with excellent follow-up skills
-Strong written and verbal communication skills
-High standards of discretion, professionalism, integrity, and diplomacy
-A proactive self-starter
-Independent problem-solver
-Understands the time sensitivity that often comes with the role
-Triage and execute tasks promptly
-A positive attitude – you enjoy what you do, and you are proud to support the client and their brand!
-Competency with a variety of software applications
-Ability to thrive and go above and beyond with complete autonomy
-Take a “manage up” approach to quarterback everything for the client and their business, ensuring your executive is well informed and has what they need before all meetings, calls, appointments, workshops, retreats, etc.
-Comfortable with, and set up for, working entirely remotely – ideally, remote support experience necessary
-Detail-oriented with data input/management
-Ability to connect with people and develop and maintain professional relationships
Starting Compensation:
-$27-$33 per hour (we encourage applicants looking for a higher pay rate or a full-time opportunity to still apply, conveying that on your application so that we may have your information on file for future opportunities).
