Executive Assistant (Part-Time)

Purpose of the Role

To provide high-level administrative support to the Chief Executive and ensure efficient and effective management of their workload. This role is critical in supporting the operational and strategic delivery of Commonwealth Games Wales’ objectives.

Key Responsibilities

• Provide comprehensive EA support, including:
• Diary management and meeting scheduling
• Organising travel arrangements and itineraries
• Preparing meeting papers, agendas, and minutes
• Monitoring and prioritising emails and correspondence
• Support the preparation of reports, Board papers, presentations, and briefing documents to a high standard.
• Manage and maintain several Excel master documents related to hotel room allocations and partner events in preparation for the Games in Glasgow 2026, ensuring all data is accurate, up to date, and effectively communicated to relevant stakeholders.
• Maintain efficient electronic filing systems and document management.
• Coordinate internal and external meetings and events as required.
• Support general office administration to ensure smooth day-to-day operations.
• Maintain confidentiality and professionalism at all times.

Person Specification

Essential:

• Significant experience in a PA or EA role, providing support at senior management or executive level.
• Exceptional proficiency in Microsoft Excel, including advanced functions (e.g. pivot tables, lookups, data analysis).
• High competence across all Microsoft Office platforms (Word, PowerPoint, Outlook, Teams, SharePoint).
• Excellent organisational skills, with strong attention to detail and the ability to manage multiple priorities.
• Strong written and verbal communication skills.
• Ability to work proactively with minimal supervision and handle sensitive information with discretion.

Desirable:

• Experience within a sport, charity, or not-for-profit environment.
• Welsh speaking.
• Experience supporting Boards or Committees.
