Role Overview
We are seeking an exceptionally capable and discreet Executive Assistant to the CEO to provide high-level administrative, operational, and strategic support in a fast-moving, high-growth environment. This is a pivotal role requiring impeccable organisation, proactive communication, and sound judgment, enabling the CEO to focus on leadership priorities, client engagements, and regulatory mandates.
The ideal candidate will bring a polished presence, absolute discretion, and a calm command of executive logistics. You will be entrusted with sensitive matters, represent the CEO in internal and external interactions, and play a critical role in coordinating the rhythm of leadership across Fortemis.
Key Responsibilities
Executive & Strategic Support
- Manage the CEO’s calendar, schedule, and travel with foresight and minimal direction
- Prepare agendas, briefing materials, and high-quality correspondence for internal and external meetings
- Proactively anticipate priorities, deadlines, and emerging demands across the CEO’s portfolio
Operational Coordination
- Track deliverables and timelines across client engagements, ensuring visibility and follow-up
- Liaise with clients, regulatory bodies, and internal consultants to coordinate meetings and documentation
- Oversee confidential documentation, filing systems, and version control across projects
Stakeholder Engagement
- Act as a professional point of contact on behalf of the CEO with clients, regulators, and strategic partners
- Draft communications, memos, and talking points, maintaining the CEO’s tone and standards
- Assist with the preparation of client presentations and high-level proposal materials
Administrative Excellence
- Coordinate international travel, visa arrangements, and expense reporting with precision
- Provide ad hoc administrative support, including light HR, onboarding, or event planning as required
- Uphold a culture of organisation and operational excellence in all touchpoints
Desired Experience & Attributes
- Minimum 3 years in an Executive Assistant or comparable role supporting C-level leadership
- Prior experience in regulatory, financial, legal, or consulting environments preferred
- Outstanding written and verbal communication skills with a sharp eye for detail
- High emotional intelligence, absolute discretion, and professional presence
- Proficiency in Microsoft 365, Google Workspace, and project/task management platforms (e.g., Notion, Asana)
