We’re looking for a sharp, organized, and culturally curious Executive Assistant & Operations Manager to work directly with Gayatri Manoj Sapru — founder of Folk Frequency, a cultural strategy consultancy advising Fortune 100 brands, producing cutting-edge research, and leading visionary conversations about Indian consumers.
This is a multi-dimensional role for someone who can think ahead, stay calm under pressure, and bring structure to a fast-moving, creative business. You'll support both day-to-day operations and long-term growth projects, and will often manage multiple freelancers and vendors.
This role is intended as a full-time, long-term role with a trial starting period of 2 months.
Confidentiality, sensitivity to gender and lived experiencs of communities and respondents, and keen interest in culture and marketing are necessary.
Responsibilities
Admin & Scheduling:
- Manage Gayatri’s calendar across time zones
- Coordinate internal and external meetings (clients, media, collaborators)
- Schedule, confirm, and brief for upcoming calls and presentations
- Track deadlines and project milestones
- Handle financial co-ordinations - this is a key responsibility - tax, invoicing, vendor registration.
Travel & Logistics:
- Book international and domestic travel
- Handle visa appointments, documentation, and itineraries
- Prepare travel folders with meetings, maps, and materials
Communication & Email:
- Manage inbox and draft replies where appropriate
- Follow up with collaborators and clients
- Keep track of key email threads, contacts, and requests
Social Media & Content Coordination:
- Draft and schedule the social media calendar on Instagram
- Track performance of social media efforts
- Coordinate with designers, editors, or agencies as needed
- Maintain repository of past posts, decks, and assets
Project & Ops Support:
- Maintain shared folders, client databases, and IP trackers
- Help coordinate workshop bookings and research materials
- Follow up with vendors, tech support, and collaborators
- Assist with event prep and digital file management
- Maintain logs of queries, outcome, outreach
- Follow up with clients
Qualifications
- 3+ years experience in executive support, operations, or project management
- Outstanding organizational skills and fluent communication in English
- Familiarity with digital tools: Google Suite, Canva, Notion, Zoom, etc.
- Social media fluency (Instagram, LinkedIn)
- Bonus: Any skills in research management/moderation
Work/personality fit:
- Keen interest in cultural change, marketing, brand
- Keen interest in news, events, and categories like lifestyle/sports/fashion/wellness (at least one)
