Position Description

Our CEO is a serial entrepreneur who owns and operates multiple businesses — with his primary company being FinElevate, a fast-growing Fractional CFO firm. He is looking for an Executive Assistant to help optimize his time and output, allowing him to focus on the areas he does best while ensuring all teams have what they need to run and grow their businesses.
Many conversations and projects will involve numbers, metrics, and dashboards — but don’t worry, you don’t need a finance background. What you do need is to be comfortable in a data-heavy environment and willing to learn. We’ll train you on everything else.

Responsibilities
This role is all about streamlining communication, maximizing efficiency, and supporting high-leverage decisions. You’ll:
- Take full ownership of the CEO’s inbox — making sure nothing urgent is missed and everyone gets timely, thoughtful responses
- Manage the CEO’s calendar and tasks to prioritize the most important work each day
- Track project progress, follow up with team members, and keep communication flowing across businesses
- Update internal tools (time tracking, project management, etc.) to keep everything running smoothly
- Help prepare reports related to sales, marketing, and operations
- Lead special projects — from researching new tools to implementing emerging technologies
- Use automation and AI tools to boost your productivity and the company’s performance
Required Qualifications
- Experienced: 2+ years as an Executive Assistant or similar support role
- Trustworthy: Able to handle sensitive information with discretion and care
- Organized: You love checklists, structure, and systems
- Detail-Oriented: Nothing gets past you — you catch what others miss
- Comfortable with Numbers: You don’t need a finance degree, but you’re not intimidated by spreadsheets or metrics
- Tech-Savvy: You’re quick to learn new tools and love exploring better ways to work
- Resourceful: You don’t wait to be told what to do — you figure it out and move things forward
- Clear Communicator: Professional and approachable in written and verbal communication
Nice-to-Haves
- 4+ years experience supporting a CEO or executive
- Experience working with business owners who run multiple companies
- Familiarity with tools like Slack, Monday.com, and AI tools like ChatGPT

Hiring Process
We are firm believers in data and objective assessments to reduce bias in the hiring process. For that reason we leverage an assessment tool before asking for any other information. This allows us to rate candidates on the core competencies and skills needed for the role and streamline the interview experience.
Process outline:
Online assessment – Estimated time is 37-42 minutes. The assessment is divided into 4 parts, each chosen with much thought to cover the technical skills required for the job. Doing this assessment allows us to focus our interview time on leadership and core values.
- English Competency (12 min) – we’re a US-based company that requires fluent English.
- Attention to Detail (12 min) – ability to thoroughly and carefully handle intricate processes
- Numerical Reasoning (10 min) – aptitude with numbers and skill in interpreting them
- Tech Savviness questions (3 min) – familiarity with communication and efficiency tools
Loom interview – (2-5 min) – we use Loom internally for project updates and team questions across time zones
Zoom Interview with Ops Manager – 30 minutes
Zoom Interview with CEO – 45 minutes
