Job Description

As the Executive Assistant at Extrity Services, you will be instrumental in supporting executive leadership through strategic calendar and inbox management, CRM tracking, and internal systems organization. Your contribution will be pivotal in enhancing leadership efficiency, maintaining communication excellence, and ensuring seamless transitions between executive stakeholders. You will play a vital role in supporting the CEO during your first 90 days and gradually integrate with the COO and CLO for expanded impact.

What You'll Be Doing

  • Manage and optimize executive calendars (CEO, COO, CLO) with strategic time-blocking and meeting prioritization.
  • Triage and maintain executive inboxes, draft responses, and manage communications with internal and external stakeholders.
  • Operate and update CRM systems (HubSpot), tracking deals, tasks, and activity across the sales funnel.
  • Prepare pre-meeting briefs and manage post-meeting action items using tools like Fireflies and ClickUp.
  • Conduct internal system alignment by linking CRM, calendar, and project management tools.
  • Build and maintain executive documentation, including workflow playbooks and weekly update reports.
  • Shadow executives in meetings and align on communication protocols and company culture.
  • Execute email and calendar initiatives independently, with an emphasis on problem-solving and proactive efficiency.
  • Create and pull contact reports for outreach, draft email templates, and support lead management.
  • Collaborate with leadership to develop customized service proposals that reflect Extrity’s standards and client site requirements.
  • Assist in transitioning systems and tasks from one executive to another, ensuring seamless continuity.

What You'll Bring

  • 2+ years experience in executive or administrative support roles.
  • High proficiency with Google Suite (Calendar, Gmail, Drive, Docs).
  • CRM fluency (preferably HubSpot) including contact management, reporting, and task tracking.
  • Excellent written and verbal communication skills, with strong attention to tone and discretion.
  • Experience with project/task management tools such as ClickUp or equivalent.
  • Ability to operate autonomously, manage multiple priorities, and anticipate executive needs.
  • Strong organizational and problem-solving skills with initiative-driven execution.
  • Professional demeanor and ability to handle sensitive information with confidentiality.
  • Strong understanding of corporate communication etiquette and time management best practices.
  • Ability to excel in a fast-paced startup environment.
