About the Role

We are looking to hire a full-time Executive Assistant who is able to efficiently handle the demanding day to day operations for our CEO’s management of clients and business calendar.

EukaPay and its business calendar spans a portfolio of various merchants online and in-store; we therefore require an independent thinker who can operate without hand holding, someone who doesn’t have the 9-5 mentality and who can work to the demands of the 24/7 nature of an emerging global tech industry.

Due to the confidentiality of the work involved, the functions of this position should be performed in a private office location both at home and / or location at our office in Toronto, Canada. We expect the successful candidate to be in daily communication with our CEO in order to keep abreast of developments and remain connected with various external teams and stakeholders.

Role Summary

The Executive Assistant will serve as an integral part of the executive team, providing comprehensive support to the CEO, facilitating effective internal and external communications, and managing day-to-day operations. This dynamic position requires a blend of administrative prowess, operational management, and a keen understanding of the fintech and crypto landscape.

As we expand our reach and services, we're seeking a highly skilled Executive Assistant to support our CEO and executive team. This role is pivotal in facilitating operational excellence and enhancing our client and partner relationships.

Executive & Operational Support

  • Manage and prioritize the CEO’s inbox, calendar, and day-to-day communications across multiple time zones.
  • Prepare agendas, notes, meeting materials, presentations, and follow-up action lists.
  • Act as a proactive gatekeeper—filtering, organizing, and drafting communications when needed.
  • Track deliverables and deadlines across all major projects, ensuring nothing requires repeated reminders.
  • Coordinate domestic and international travel, itineraries, logistics, and documentation.
  • Maintain strict confidentiality with all sensitive operational, financial, and strategic information.
  • Support expense reporting, vendor coordination, and administrative financial tasks.

Client, Partner & Event Coordination

  • Manage client and partner relationships through preparation, coordination, and thoughtful follow-up.
  • Schedule partner or investor meetings, maintain accurate records in the CRM, and track actionable next steps.
  • Coordinate CEO participation in fintech/crypto/web3 events—including outreach, scheduling, and speaking engagements.
  • Plan business dinners, small gatherings, partner events, and thoughtful gifting for stakeholders.
  • Stay current with major industry events and opportunities for strategic positioning.

People, Culture & Internal Experience

  • Coordinate internal team events, celebrations, milestones, and company-wide updates.
  • Prepare internal communications for holidays, announcements, and organizational updates.
  • Organize offsites, workshops, team-building sessions, and internal leadership meetings.

Sales, Research & Strategic Support

  • Manage HubSpot CRM tasks, pipeline follow-ups, and prioritization for the CEO.
  • Support sales processes through prospect identification, lead research, and preparation of briefing materials.
  • Conduct research and synthesize information on fintech, payments, crypto, and competitive landscapes.
  • Prepare briefs before meetings with investors, clients, partners, and internal leadership.
  • Identify opportunities to streamline workflows, improve processes, and enhance internal operational efficiency.

Documentation, Reporting & Tech Enablement

  • Create, format, and manage documents, reports, slide decks, and executive summaries.
  • Maintain organized files, shared drives, and digital systems for fast access and retrieval.
  • Use digital tools (Google Workspace, MS Office, CRM systems, project trackers) to automate and optimize workflows.
  • Support adoption of productivity tools and maintain a consistent “CEO operating system” for priorities, schedules, and tasks.

Life-Logistics

  • Coordinate occasional personal logistics tied to travel, scheduling, or workload management.
  • Ensure the CEO’s time, energy, and commitments are aligned with business priorities.
  • Help maintain a structured “CEO operating system” — ensuring schedules, tasks, and priorities are aligned.

What We're Looking For

  • 2–4+ years in EA, operations, or chief-of-staff–style roles supporting senior executives.
  • Excellent communication, time management, and prioritization skills.
  • High level of discretion, confidentiality, and professionalism.
  • Exceptional organizational ability and comfort managing rapid change.
  • Tech proficiency: Google Workspace, HubSpot, Notion, Slack, video conferencing tools.
  • Experience in fintech, crypto, SaaS, technology, or high-growth startups is an advantage.
  • Ability to work independently and anticipate needs several steps ahead.
  • Sales, operations, or business development experience is a strong plus.
