About the Role:
We seek a highly organized and proactive Executive Assistant to support Will Polese, VP of Revenue at ELSA Corp. This role requires a detail-oriented professional who can manage schedules, coordinate projects, and act as a key liaison for internal and external stakeholders. The ideal candidate will thrive in a fast-paced environment, possess strong problem-solving skills, and have experience supporting C-level or senior executives in high-growth companies.
Key Responsibilities:
- Calendar & Meeting Management: Efficiently manage the VP’s schedule, coordinate meetings, and handle extensive global travel arrangements.
- Communication & Coordination: Act as the main point of contact between the VP of Revenue and internal/external stakeholders, ensuring seamless communication.
- Project Management: Assist in tracking key revenue initiatives, following up on action items, and ensuring timely completion of projects.
- Administrative Support: Handle expense reporting, document preparation, and maintain key business records.
- Event & Conference Coordination: Organize logistics for team off-sites, industry conferences, and client meetings.
- Confidentiality & Discretion: Manage sensitive information with professionalism and high discretion.
- Process Improvement: Identify opportunities to streamline administrative workflows and increase efficiency.
Requirements:
- Experience: 5+ years of experience as an Executive Assistant, preferably supporting senior leaders in a sales or revenue-focused environment.
- Skills: Strong organizational and time-management skills, with the ability to prioritize and multitask effectively.
- Tech-Savvy: Proficiency in Google Workspace, Microsoft Office, Slack, Zoom, and CRM tools like Salesforce and HubSpot. Also adept and curious about GenA tools like ChatGPT, Gemini, Perplexity, etc.
- Communication: Excellent verbal and written communication skills.
- Problem-Solving: Ability to anticipate needs, take initiative, and proactively resolve issues.
- Adaptability: Comfortable working in a fast-paced, evolving environment with high autonomy.
- Preferred: Prior experience in SaaS, edtech, or a startup environment is a plus. Proficient in at least two languages, preference given to Japanese, Bahasa, Mandarin, or Vietnamese.
