Position Overview
KIPP North Carolina is seeking a highly skilled, proactive, and detail-oriented Executive Assistant (EA) to the Chief Executive Officer (CEO). The EA will play a critical role in ensuring the smooth operation of the Executive Office and supporting the CEO’s work across KIPP NC’s statewide network of schools and national partnerships. This role is approximately 70% remote, with regular in-person presence required for high-priority events, board meetings, and internal leadership convenings.
The EA will serve as a trusted partner, managing executive functions, coordinating high-level communications, preparing strategic materials, and ensuring alignment across internal and external stakeholders. This is a fast-paced, high-impact position ideal for a systems-minded professional who thrives in mission-driven environments.
Key Responsibilities
Executive Support
- Manage the CEO’s complex and dynamic calendar, including scheduling virtual and in-person meetings with diverse stakeholders.
- Prepare daily and weekly briefing materials, including agendas, research, and talking points for executive engagements.
- Draft, edit, and format high-quality communications on behalf of the CEO.
- Monitor and prioritize email correspondence, ensuring timely follow-up and responsiveness.
- Plan and coordinate all CEO travel logistics — including in-state and out-of-state trips — such as flights, hotels, ground transportation, and event itineraries.
- Maintain and update the CEO’s professional social media presence (e.g., LinkedIn) and internal platforms (e.g., Workplace by Facebook) in alignment with KIPP NC’s brand and mission.
Board of Directors & Governance Support
- Organize and manage logistics for quarterly Board of Directors meetings (virtual and in-person), including agendas, board books, presentations, and minutes.
- Track board-related communications and requests, ensuring timely and accurate responses.
- Maintain governance documents, ensuring alignment with bylaws and compliance protocols.
Project Management & Strategic Coordination
- Support the CEO in planning and executing major initiatives such as leadership summits, internal communications, and stakeholder events.
- Maintain timelines, trackers, and dashboards to manage deliverables and priorities for the Executive Office.
- Coordinate logistics for internal and external executive engagements.
Internal & External Relationship Management
- Serve as a professional and trusted liaison between the CEO and KIPP NC’s internal teams, partners, board members, and external stakeholders.
- Build relationships with cross-functional staff, school leaders, and regional support teams.
- Coordinate and support logistics for CEO-hosted events, speaking engagements, and site visits.
Administrative Systems & Confidentiality
- Maintain digital filing systems, calendars, and documentation for executive projects and communications.
- Identify opportunities for process improvements to increase Executive Office efficiency.
- Exercise a high level of discretion in handling sensitive information and personnel matters.
Requirements
Qualifications
Required
- 3–5 years of professional experience supporting a senior executive or leadership team, ideally within a nonprofit, education, or mission-driven organization.
- Experience organizing complex travel and event logistics (including out-of-state travel arrangements).
- Strong written and verbal communication skills with exceptional attention to detail.
- High proficiency in Google Workspace, Microsoft Office Suite, Zoom, and document management tools.
- Demonstrated ability to operate independently in a hybrid/remote setting while managing multiple priorities.
- Strong interpersonal and organizational skills, with a service-minded and solutions-oriented approach.
Preferred
- Familiarity with LinkedIn, Workplace/Facebook, and other professional communication platforms.
- Experience coordinating or supporting board or governance-related operations.
- Notary Public certification (or willingness to obtain).
- Bachelor’s degree or equivalent experience.
Additional Details
- Reports to: Chief Executive Officer
- Location: Hybrid – Based in North Carolina with ~70% of work performed remotely. On-site presence required for board meetings, school visits, and internal events.
- Must have reliable access to internet and phone capabilities. A laptop will be provided.
- Travel Requirement: This role does not require travel; however, the EA will coordinate all travel logistics for the CEO, including out-of-state engagements.
