Executive Assistant
The Executive Assistant provides support to the AFIMSC Det 2 Military Construction program including multiple GS-14 Branch Chiefs and their respective teams (15-20 people total). Tasks include travel planning and tracking, setting up meetings via MS Teams and/or in a conference room, managing shared electronic files, drafting correspondence using military templates, tracking the status of approval requests, editing complex Microsoft documents in Word and PowerPoint, and assisting in writing or editing shorter documents for senior executives or General Officers.

Estimated Starting Salary Range for: Pay commensurate with experience.

CAC: This position requires a Common Access Card (CAC), the ability to pass the U.S. Department of Defense (DoD) clearance to acquire a Common Access Card (CAC)
Executive Assistant Responsibilities Include
Track approval requests for MILCON projects or programmatic issues. These may be for external authorities (e.g., installations, PACAF, AFCEC, or HAF) but affect Det 2 projects and programs. Assist in developing or modifying tools and processes.
Assist managers, engineers, and scientists in editing documents. This may include using existing office templates, editing complex Microsoft documents in Word and PowerPoint, or assisting in writing or editing shorter documents to ensure appropriate voice and level of detail for senior executives or General Officers.
Provide travel planning assistance, primarily tracking and obtaining travel approvals.
Independently set up meetings via MS Teams and/or in a local conference room.
Assist in managing shared electronic files. At times this may include migrating files to new domains (e.g., from local Shared Drive to MS Teams or SharePoint).
Additional administrative support may include:
Assist Branch Chiefs in monitoring and revising schedules as needed.
Preparation of materials for meetings.
Draft summaries of meetings and tasks; track due-outs for Branch Chiefs.
Review personnel work schedules and assist in making updates to the office calendar.
Coordinate with visitors to set up meetings or distribute materials; escort visitors and guests if needed.
Assist with office functions, planning, and logistical support.
Performs other job-related duties as assigned
