Our client, an ambitious and innovative AI start-up, is seeking a highly capable and detail-oriented Executive Assistant to support the Co-Founder and CEO. ***This is a remote role seeking candidates that are located in the Bay Area. Candidates must be open to working EST hours, with daily availability starting around 7–8 a.m. PST.
Key Responsibilities:
- Serve as a trusted right-hand partner to the CEO, managing complex scheduling, calendar prioritization, and real-time updates to ensure smooth daily operations
- Coordinate full domestic and international travel arrangements, anticipating changes and proactively resolving conflicts
- Oversee inbox management, triaging emails, and ensuring timely follow-up on critical communications
- Maintain and update contact lists and CRM systems to keep relationship data accurate and actionable
- Support onboarding of new hires, including coordinating equipment orders, travel, and first-day logistics
- Liaise with recruiting and external agency partners by managing candidate communications, scheduling interviews, and tracking feedback
- Prepare correspondence, documents, and materials to support CEO meetings and presentations
- Provide regular morning and end-of-day updates to keep the CEO aligned and informed
- Demonstrate flexibility and willingness to help with occasional ad hoc administrative needs as they arise
- Uphold the highest standards of confidentiality, accuracy, and professionalism in all tasks
Qualifications:
- Bachelor’s degree required
- 3–6 years of experience supporting C-level executives or founders in a fast-paced, high-growth environment; experience within start-up tech preferred
- Exceptional attention to detail and commitment to accuracy above speed
- Strong organizational skills with the ability to manage multiple priorities and anticipate needs
- Proactive, responsive, and able to communicate clearly and professionally, including daily updates to leadership
- Tech-savvy and comfortable using tools such as Google Suite, Slack, and CRM platforms
- Driven, resourceful, and eager to take on additional responsibilities over time
- Based in California (Bay Area) and comfortable with a remote role that aligns to an EST schedule
- Open to occasional overtime and maintaining high accessibility, while not expected to work around the clock
Compensation & Benefits:
- Competitive base salary 120,000 - $150,000, depending on experience
- Equity and bonus potential, to be discussed individually based on candidate needs
