Executive Assistant
The Overview
As the Executive Assistant, you’ll take the lead on strategic administrative tasks including project coordination and communication management for our CEO. You’re a highly organized, tech-savvy multitasker who thrives on problem-solving, anticipating needs, and staying two steps ahead. You also bring positivity and a can-do attitude to your work every day, staying calm and collected while juggling multiple priorities
Your success is measured by your ability to proactively manage priorities, ensure timely communication, and keep everything running like a well-oiled machine.
Your Workdays Can Include the Following Tasks:
- Manage the CEO’s personal and professional social media accounts including drafting, scheduling, and engaging with posts to build thought leadership and brand presence
- Identify relevant podcasts aligned with the CEO’s expertise and company mission, and schedule guest appearances
- Manage and process the CEO’s calendar and inbox
- Schedule internal and external meetings
- Book travel and accommodations
- Draft and edit communications on behalf of the CEO
- Organize and maintain digital files and documentation
- Manage special projects and track progress on strategic initiatives
The Skills and Qualifications You Bring:
- Recent experience providing high-level administrative support to senior leadership
- Experience working in a fast-paced, scaling environment (SaaS or agency experience is a plus)
- Excellent communication skills, both written and verbal
- Proven experience managing professional social media accounts (e.g., LinkedIn, Twitter), with strong understanding of content strategy, platform best practices, and audience engagement techniques
- Strong organizational and multitasking skills with high attention to detail
- Proficiency in Google Workspace (Docs, Sheets, Gmail, Calendar, etc.)
- A proactive, solutions-oriented mindset with the ability to work independently
- Demonstrated ability to maintain confidentiality and use sound judgment
- Ability to own your responsibilities from start to finish
- Tech-savvy with a love of learning new tools and systems
- Comfortable working remotely with a distributed team
- Authorization to work in the U.S. without employer sponsorship
- While this is a remote position, candidates must live in the Tampa Bay area due to occasional in-person meetings.
