We are seeking a dynamic, highly organized, and mission-driven Executive Assistant to provide high-level administrative support to both the CEO and President & COO, ensuring smooth day-to-day operations and strategic efficiency at the executive level.
Key Responsibilities
- Executive Support
- Manage calendars, schedule meetings, and coordinate appointments, ensuring optimal time management and prioritization.
- Prepare briefing materials, agendas, and presentations for internal and external meetings.
- Attend key meetings as needed; capture and track action items to completion.
- Screen and prioritize emails, calls, and correspondence on behalf of the CEO and President & COO.
- Assist in drafting internal and external communications, including memos, emails, and reports.
- Operational Coordination
- Facilitate executive travel arrangements and itineraries, including flights, accommodations, and logistics.
- Liaise with internal departments and external stakeholders to support project execution and partnership deliverables.
- Manage expense reporting, invoice processing, and basic bookkeeping tasks related to executive operations.
- Help coordinate board meetings, strategic offsites, and leadership team sessions.
- Confidential and Strategic Tasks
- Maintain a high level of confidentiality in handling sensitive information.
- Assist with special projects, research, and reports as directed by the CEO and President & COO.
- Provide administrative support for strategic initiatives, including health equity programs and partnership development.
Qualifications
- Minimum 5 years of experience supporting senior executives in a fast-paced, high-growth environment; experience in media, healthcare, or mission-driven organizations is a plus.
- Exceptional organizational and time-management skills, with the ability to multitask and prioritize effectively.
- Strong written and verbal communication skills; experience drafting professional correspondence.
- High level of professionalism, discretion, and integrity.
- Tech-savvy: Proficient in Google Workspace, Microsoft Office, Zoom, and project management tools (e.g., Asana, Trello).
- Proactive, solution-oriented mindset with attention to detail.
- Comfortable working independently and remotely with occasional travel or in-person collaboration.
