__Title: Marketing Coordinator

__FLSA Classification: Non-exempt

__Department: Marketing

__Reports to: Marketing Operations Director

__Salary: $65,000-75,000 + bonus

__Date: 6/2025

_Job Summary:

The Marketing Coordinator at BeatBox Beverages supports the marketing team with a mix of project coordination, brand material updates, event logistics, and administrative tasks. This includes helping with executive travel, planning leadership meetings, managing promotional item distribution, and keeping marketing efforts organized and on track. It's a fast-paced, hands-on role ideal for someone detail-oriented and ready to jump in across a variety of projects.

Supervisory Responsibilities:

This position does not have direct supervisory responsibilities but is subject to change.

Duties/Responsibilities:

  • Executive Support & Travel Coordination
  • Manage and book VP-level travel arrangements, including flights, hotels, ground transportation, and travel itineraries.
  • Maintain travel documentation and preferences, ensuring seamless travel experiences for senior leadership.
  • Liaise with travel vendors and resolve travel-related issues promptly.
  • Leadership Meeting Planning, Administrative & Departmental Support
  • Coordinate all meal planning and catering logistics for executive meetings and leadership off-sites.
  • Make dining reservations for leadership and special events as required.
  • Ensure dietary restrictions and preferences are managed appropriately.
  • Schedule meetings, prepare agendas, and record action items for the marketing team.
  • Customer service desk support as needed, ensuring timely responses and a positive brand experience.
  • Marketing Asset Management
  • Own the updates and distribution of marketing materials across all internal and external platforms (website, sales decks, digital asset management tools, etc.).
  • Collaborate with design and content teams to ensure timely and accurate updates to brand materials.
  • Maintain a consistent brand voice and visual identity across platforms.
  • Promotional Item & Ticket Distribution
  • Coordinate distribution of event tickets, signed merchandise, and branded promotional materials.
  • Track inventory of giveaways and high-value promotional items.

Required Skills/Abilities:

  • Exceptional Organizational & Project Management Skills Ability to manage complex logistics including VP-level travel, meeting coordination, and multi-channel marketing updates with precision and efficiency.
  • Strong Communication & Interpersonal Skills Clear, professional verbal and written communication; capable of coordinating with leadership, vendors, partners, and cross-functional teams.
  • Tech-Savvy with Marketing Tools Proficiency in Google Workspace and familiarity with platforms like Canva, Adobe Creative Suite, and asset management systems.
  • Attention to Detail & Brand Consistency Ensures all marketing materials, promotional items, and public-facing content are accurate, timely, and aligned with brand standards.
  • Flexibility & Problem-Solving Mindset Comfortable navigating changing priorities, supporting fast-paced marketing initiatives, and resolving logistical challenges on the fly.

Education/Experience:

  • 3-5 years of experience in a marketing support or coordination role.
  • Strong organizational and project management skills.
  • Excellent written and verbal communication skills.
  • Proficiency in marketing tools (e.g., Asana, Canva, Google Workspace, etc.).
  • High attention to detail, with the ability to juggle multiple projects.

Physical Requirements:

  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.
