_Ben jij een sterke organisator met feeling voor hospitality, events en klantrelaties? Dan is deze rol als Projectmanager Meetings bij BCD Meetings & Events België misschien wel iets voor jou.

Als projectmanager ben jij de schakel tussen de meeting planner van de klant en het hotel of de leverancier. Je begeleidt het traject van locatiesearch en contractering tot en met de planningsfase van de bijeenkomst. Daarbij bouw je sterke klantrelaties op en zorg je ervoor dat alles vlot, professioneel en tot in de puntjes verloopt.

Je bent verantwoordelijk voor onder andere locatieonderzoek, selectie, offerteaanvragen, budgettering, onderhandelingen, contractafsluiting en het in kaart brengen van besparingen. Afhankelijk van het programma kunnen daar ook taken bij komen zoals deelnemersregistratie, websiteontwikkeling, programmaorganisatie, on-site ondersteuning en afstemming met alle betrokken partijen.

De programma’s waaraan je werkt, variëren van 10 tot 500 deelnemers. Je komt terecht in een team met open communicatielijnen en een flexibele manier van samenwerken. Tegelijk neem jij eigenaarschap over je projecten en zorg je ervoor dat processen correct worden gevolgd en dat jij voor jouw klant dé expert bent.

Jouw verantwoordelijkheden

• Je onderzoekt de beschikbaarheid van hotels en locaties op basis van de specificaties van het programma.
• Je stelt, waar nodig via meetingtechnologie, voorlopige tarieven, beschikbaarheidsoverzichten en programmabudgetten op om de klant te ondersteunen bij de keuze van de juiste locatie.
• Je onderhandelt contracten met hotels en locaties.
• Je bespreekt en onderhandelt aanvullende, klantspecifieke voorwaarden met leveranciers en venues.
• Je werkt samen met de klant rond het betalen van hotelvoorschotten.
• Je onderhoudt dagelijks je relaties binnen de sector.
• Je maakt optimaal gebruik van de voorkeursafspraken van klanten met hotels tijdens contractonderhandelingen.
• Je plant en woont, indien nodig, bezoeken aan leveranciers bij.
• Je bewaakt de kwaliteit en correctheid van technologische gegevens.
• Je onderzoekt voorkeursleveranciers voor offerteaanvragen en formuleert indien nodig aanbevelingen.
• Je volgt hotelovernachtingen, uitgaven en gerealiseerde besparingen op en rapporteert hierover nauwkeurig.

Jij brengt mee

• Bij voorkeur een bacheloropleiding of gelijkwaardige ervaring, idealiter met een zakelijke insteek en ondernemende mindset.
• Ervaring in de eventsector; kennis van Cvent is een mooie plus.
• Inzicht in verschillende soorten meetings en de specifieke aandachtspunten die daarbij horen.
• Een goede algemene kennis van bestemmingen, hotels en leveranciers.
• Sterke mondelinge en schriftelijke communicatieve vaardigheden in Nederlands, Engels en Frans.
• Ervaring binnen een bureau gespecialiseerd in meeting management is een extra troef.
• Ervaring met klanten uit de farmaceutische sector is een plus.

Wat je mag verwachten Voor deze functie ligt het bruto jaarsalaris tussen €40.000 en €50.000, afhankelijk van je ervaring, skills en kwalificaties.

De sollicitatiegesprekken vinden plaats in de tweede helft van augustus.

Project Manager Meetings Management, BCD Meetings & Events Belgium

_Full-time, (home) based in Belgium

_The Project Manager owns and manages client relationships and will serve as the liaison between the clients meeting planner and the hotel/supplier during the sourcing and contracting phase of the meeting and during the planning phase.

You are primarily responsible for site research, selection, RFP development, value-added client counseling, budgeting, negotiations, contracting, and savings consolidation. Additional responsibilities may include attendee registration, website development, program organization, onsite management, and reconciliation.

Programs will vary in scopes and sizes from 10 attendees to 500 attendees. Communication lines within the team are open and flexible, and you will be responsible for following all processes appropriately and being your Client's subject matter expert.

Your Responsibilities

• Source hotel/venue availability based on the program specifications. Provide (via meetings technology) preliminary rate, availability grids, and preliminary program budgets, as required to assist the Client meeting sponsor in making a final decision on program location.
• Negotiate hotel and venue contracts.
• Effectively be able to negotiate Client specific addendum with vendors and venues.
• Work with the Client on hotel deposit payments.
• Manage day-to-day industry relationships.
• Utilize and leverage Client preferred hotel agreements when negotiating hotel contracts.
• Schedule and attend supplier visits as required.
• Ensure technology data integrity.
• Research preferred suppliers to include in RFP responses and provide recommendations

• Track and report hotel room nights, spending, and savings; ensure technology data integrity.

You're good at

• BA preferred or similar level of experience with a business focus and entrepreneurial spirit.
• Prior event experience and Cvent knowledge is preferred
• Understanding of meeting types and associated considerations
• General understanding of destinations, hotels, and suppliers
• Excellent oral and written communication skills in English, Dutch and French
• Agency experience in the meetings management fields is a plus
• Experience with pharma clients is preferred

The salary range for the role is between 40.000 euro and 50.000 euro gross per year. The actual pay will depends on your qualifications, skills and experience.

Interviews will take place in the third week of August.
