About the Role:
We are seeking a highly organized, proactive, and discreet Executive Assistant to provide high-level administrative support to our CEO and COO. This role is pivotal in ensuring smooth operations at the executive level and will also support HR-related initiatives across the company. The ideal candidate is a strategic thinker with excellent communication and writing skills, sound judgment, and the ability to handle sensitive information with the utmost discretion.
Key Responsibilities:
Executive Support:
Provide daily administrative support to the CEO and COO, including calendar management, travel arrangements, meeting coordination, and email correspondence.
Draft and edit high-quality communications, presentations, and reports in English.
Prepare briefing materials and agendas for meetings, take minutes, and follow up on action items.
Serve as a gatekeeper and liaison between executives and internal/external stakeholders.
Organizational & Communication Excellence:
Maintain exceptional organization of files, documents, and workflows.
Support internal communications and ensure messaging consistency across teams.
Facilitate clear and effective communication between leadership and staff.
HR & People Support:
Assist with HR coordination, including onboarding, employee documentation, and scheduling interviews.
Support culture initiatives, team events, and employee engagement efforts.
Ensure confidentiality in all HR-related matters.
Operational & Strategic Support:
Assist in managing key projects and initiatives on behalf of the CEO and COO.
Conduct research, prepare data, and compile reports to support decision-making.
Anticipate executive needs and proactively solve problems before they arise.
Key Qualifications:
Bachelor’s degree (or higher) in a relevant field.
Minimum 3 years of experience as an Executive Assistant or similar role.
Exceptional written and verbal communication skills in English.
Highly organized with strong time-management skills and attention to detail.
Ability to exercise discretion, confidentiality, and excellent judgment.
Experience supporting HR-related functions is a strong plus.
Tech-savvy with proficiency in tools like Google Workspace, Slack, and project management platforms.
