About the role

We are seeking a highly independent and analytical SaaS Operations & Automation Analyst to drive our cost-savings initiatives. This role is critical for transforming our SaaS data into actionable insights.

The analyst will be responsible for dissecting our complete SaaS portfolio, identifying unmanaged and redundant software, and finding consolidation opportunities. A key part of this role is not just analysis, but also improving and automating the underlying processes for procurement, reporting, and management.

We are looking for a proactive problem-solver who can handle ambiguous data and deliver results independently, with a "progress over perfection" mindset.

Core Requirements (Non-Negotiable)

  • Elite Data Analysis & Independence: Able to take large, raw, and often "messy" data exports from multiple sources (e.g., Oracle finance ledgers, worksheets, Trelica, Azure AD) and, with minimal guidance, synthesize them to identify unmanaged spend, audit trails, and process gaps.
  • Proactive Execution & Delivery: Must be able to analyze a situation, identify high-impact priorities, and execute on them. We expect them to deliver tangible progress in sprints (e.g., every two weeks).
  • Confident Stakeholder Management: Must be able to independently and confidently follow up with stakeholders (via Slack, email, etc.) to get the information needed.

Key Responsibilities

  1. SaaS Spend & Portfolio Analysis (Primary Focus)
  • Analyze and categorize our entire SaaS portfolio, identifying all duplicate tools and consolidation opportunities (e.g., multiple project management, creative, collaboration tools).
  • Conduct deep-dive analysis of contracted vs. actual license usage by integrating data from SSO (Azure AD, Google Workspace) and SaaS admin panels.
  • Benchmark platforms (using G2, Gartner, etc.) to provide clear recommendations for consolidation (e.g., Figma vs. Adobe XD, Asana vs. Monday).
  • Engage with end-users and department heads to determine which tools are business-critical vs. redundant.
    Review contract terms to detect overlapping functionality and optimize licensing (user-based, consumption-based, etc.).
  1. Process Improvement & Automation (Secondary Focus)
  • Identify and execute opportunities to automate manual tasks related to SaaS spend reporting, procurement workflows, and license tracking.
  • Develop and maintain automation solutions, preferably using Google Apps Script, AppSheet, or other no-code/low-code tools (e.g., Zapier).
  • Leverage AI tools (e.g., Gemini) to assist in data categorization, workflow summarization, or scripting, experience with Gemini and AI agents is a plus.
  • Create clear documentation for all new processes and automations (in Confluence) to ensure a smooth handover to our team.

Required Skills & Experience

  • Must Have: Proven, advanced proficiency in Google Sheets/Excel (complex formulas, pivot tables, query functions) and/or SQL for analyzing large, multi-source datasets.
  • Strong experience in SaaS spend analysis, IT procurement, software asset management (SAM), or FinOps, preferably in a mid-to-large enterprise (5,000+ employees).
  • Deep familiarity with SaaS management platforms (we use Trelica).
  • Experience with no-code/low-code automation tools (specifically Google Apps Script or AppSheet).
  • Excellent understanding of SaaS categories (e.g., CRM, ITSM, Collaboration) and pricing models.
  • Ability to create clear dashboards and visualizations to communicate findings to stakeholders.

Preferred Qualifications

  • Background in IT, Procurement, or SaaS Governance.
  • Experience using AI tools (like Gemini) to assist in data analysis or automation.
  • Familiarity with API integrations and how SaaS tools interoperate.
  • Experience with Jira, Confluence, and financial reporting systems.
  • Strong understanding of SaaS vendor contracts and license management.
